- R 450000 - R 550000 Annually Cost To Company- The main purpose of this position is to compile and distribute monthly reports in respect of Leasing Compliance processes and System generate reports. System information and reports to be as accurately and comprehensive to ensure compliance and processes adherence on all aspects of Leasing on a national level.
- REQUIREMENTS:

- Matric
- Minimum of 7 to 10 years in a relevant field and which at least 3 years must have been spent in a Leasing position. (Commercial, Retail, Office Park & Industrial experience is an advantage).

DUTIES:
Reports:

- Reports : Reports are compiled on the 1st working day of each month and sent to Head: Property and Facilities Management.
- Reports include but are not limited to : Lease Register, Offer tracking, Commission submitted and Debtors list.
- Liaise with PA’s, LA, PM’s on information required to update reports.
- Constantly liaise with staff re outstanding leases and offers.
- Assist all Leasing staff with Leasing queries in terms of the Leasing and Audit Policy.
- Perform spot checks on leasing deals in the regions.
- Ensure compliance w.r.t. Landlord/client Levels of Authority (LAR).
- Perform spot checks on Audits done on Sandton deals, and ensure correctness of Commission claims submitted to Landlords for approval.
- Assess reversal of commissions by determining the validity of the claim or motivate payment to Client.
- Liaise with AM’s w.r.t. to title deeds / property information where required (mostly MMI).
- Perform Credit Checks (TPN) and Company search information (CIPRO) for Property Management and assess detail if/when required.
- Ensure Lease documents comply with Legal requirements, including but not limited to format, clause changes etc. Refer if needed.
- Update Leasing Hub templates nationally.
- Assist Retail Department with Leasing processes, Leasing documents, etc.
- Assess and suggest amendments to Leasing documents if/when problems are
- identified. Formatting and layout of lease documentation for easier interpretation.
- Upkeep of standard offers, leases and addendums. Correct info via Legal and incorporate changes as identified by National Legal Manager.
- Follow up on unpaid commissions (Lease Register and Broker Liaison reversals).
- Monitor and update monthly Leasing Commission schedule.
- Liaise directly with staff / broker liaisons / AM on non-compliance issues.
- Filing and record keeping of original documentation in strongroom e.g. Leases & IBG’s.
- Ad hoc - all / any administrative queries in terms of Leasing.
- Systems - monitor not-activated / activated leases and leases not reflecting on Lease Register.
- Resolve any lease related queries for tenants where requested by PM.
- Follow up on Outstanding Leases with individuals / PM groups w.r.t. turnaround times, and feedback. Assist by identifying problems and seeking alternative means of finalising deals. Monitor Lease Register comments.
- Track drafting turnaround times and stand in for lease drafting in LA’s absence.
- Assess clause changes and open restricted clauses if/when input is obtained/requested.
- Support Leasing Hub staff on process and system changes.
- Ensure all regions update reports in the same manner (uniformity)
- Assist with the update / compile information requested by Clients if / when required e.g. Break clause info, CPA, deposit lists.
- Handover of original documentation on sale / handover of a building (Sandton region).
- Manage two Lease Administrator.
- Arrange monthly approval of TPN invoices and give through to Finance with recovery list.
- Pull monthly Windeed searches and give recovery list through to Finance.
