Our client, an international institution who specializes in providing language courses, is looking for an Operations Manager to join their team based in Sea Point, Cape Town.

Hours of work/contract type: 45 hours per week, permanent contract.

Job Purpose

To provide excellent customer service for all students, suppliers and visitors. To oversee and ensure that all student needs are met and that the students are happy and satisfied with all aspects of their stay. To oversee student welfare in all aspects such as health, crime, travel, transfers, and visas. To supervise and manage the Young Learner Programme. To assist with all local social media, audiovisual, online marketing, and general online content. To assist the business in ensuring efficient and effective processes are in place for the smooth operation of the school. To ensure that the property is maintained to a standard that ensures effective and efficient operation.

Main Responsibilities and Tasks

In consultation with the General Manager and/or Management:

- Manage overall operations, including leisure, welfare, transfers, and accommodation.
- Represent the Operations Department to the management team.
- Manage recruitment, training, and supervision of operations staff.
- Liaise with other departments as necessary.
- Assist the General Manager in various tasks.
- Handle timesheets and holiday date information.
- Greet new students.
- Purchase consumables and stationery.
- Monitor vending machines.
- Receive, print, and process invoices.
- Maintain records of stocks.
- Manage car parking allocation.
- Undertake additional duties as required.
- Develop and supervise programs and staff for transfers, leisure activities, catering, and student welfare.
- Ensure efficient reception service and customer satisfaction.
- Oversee the Young Learner program and health and safety compliance.
- Manage IT infrastructure and facilities under the guidance of the CIO.
- Support recruitment and represent the Operations department.
- Ensure up-to-date client literature.
- Manage insurance, licensing, and legal compliance.
- Oversee academic and extracurricular operations.
- Line manage Operations Department staff.
- Plan and organize leisure programs within budget.
- Coordinate with external parties for leisure activities.
- Manage homestays, records, and student allocations.
- Monitor and assess risk for activities and homestays.
- Purchase students' non-academic printed materials.
- Organize and run school events.
- Liaise with external parties and supervise activity leaders.
- Ensure marketing content and availability of client literature.
- Manage student welfare, records, and feedback.
- Supervise reception area and staff.
- Coordinate student transfers, arrivals, and orientation.
- Manage school communication and information dissemination.
- Maintain property and oversee repairs and maintenance.
- Manage external contractors.
- Ensure compliance with health and safety rules.
- Oversee non-academic aspects of the Young Learner program.
- Ensure health and safety compliance, training and relevant safety checks.
- Manage operational facilities, branding, and signage.
- May be required to stand in for General Manager to cover annual leave/sick leave.
- Perform additional duties as required.

**Requirements**:
Essential:
Education, Training and Knowledge

a) Matric or equivalent.

Relevant Work Experience

a) General office administration experience.

b) Experience in customer service roles for small-sized companies or larger.

c) Proficient in the use of Microsoft Outlook and Word.

Skills and abilities

a) Excellent level of spoken and written English.

b) Accuracy and attention to detail, particularly when working to tight deadlines.

c) Ability to work on own initiative as well as part of a team.

Other attributes

a) Willingness to work non-standard hours when necessary.

b) Proactive attitude towards complaint resolution.

c) Excellent communication skills.

d) No criminal record.

e) Willingness to undergo a polygraph test.

Desirable:
Relevant Work Experience

a) Language School Experience.

b) Experience working in a similar position.

Skills and abilities

a) Ability to speak and write in languages other than English.

b) Driver’s license.
