Property Administrator

As a Property Administrator, you will play a pivotal role in ensuring the smooth operation of our client's lettings and property management department. Your role will be multifaceted, involving general administration, diary management, compliance adherence, tenancy renewals, and maintenance co-ordination.
This position requires a highly organised, detail-oriented individual with excellent communication skills and a commitment to providing outstanding service to landlords, tenants, and internal teams.
**Key Responsibilities**:
**General Administration and Lettings**:
- Manage daily administrative tasks including updating daily progress in the system, organising keys for viewings, and handling utility switches and queries.
- Co-ordinate viewing appointments and confirm schedules with current tenants.
- Follow up on move-in surveys for landlords and send out daily landlord statements.
**Diary and Compliance Management**:
- Efficiently manage diaries for viewings and other appointments, ensuring there are no clashes, and all confirmations are sent promptly.
- Schedule and book property compliance certifications, maintain records in the Real Property Software
(RPS) system, and ensure compliance data is up to date.
**Tenancy Administration and Renewals**:
- Handle the drafting and distribution of tenancy agreements, landlord terms of business, and related invoices.
- Proactively chase actions and payments related to tenancy renewals and administration.
- Address rental arrears by liaising with tenants and recording relevant information.
**Maintenance and Contractor Liaison**:
- Process and follow-up on contractor invoices, ensuring all insurance and legal requirements are met.
- Co-ordinate maintenance and contractor appointments, providing timely reminders to all parties involved.
**Property Management and New Business Generation**:
- Oversee management visits, ensuring smooth operation of inventory systems and compliance additions.
- Generate new business leads by identifying potential rental addresses and landlords through various platforms.
**Sales Support**:
- Assist with anti-money laundering checks, EPC orders, sales progression administration, and maintaining investor registers.
- Input leads into RPS, manage weekly reports, and refresh property listings on Rightmove.
**Qualifications and Skills**:
- Proven experience in lettings, property management, or a related field.
- Strong organisational and time management skills.
- Excellent communication and interpersonal abilities.
- Proficient in MS Office and property management software (e.g., Reapit, RPS).
- Knowledge of property compliance and legal requirements.
- Ability to work independently and as part of a team.
- Demonstrate a strong drive to succeed.
- Exhibit clear and effective communication both in person and through digital platforms.
- Possess advanced computer skills, including proficiency in Excel and Gmail.
- Approach all situations in a positive mindset.
- Have a great attitude & the willingness to go the extra mile.
- Drivers licence
**Experience**:
- Property Management: 2 years (preferred)
**Salary**: R9,000.00 - R12,000.00 per month
