**Role and Responsibilities**

Assisting Operations and Product Development Manager by ensuring that the organization’s operations runs smoothly. Performing of administrative and clerical duties. Responsible for arranging of conference calls and meetings. Arranging travel (local and international), visas and accommodation. Composing of correspondence, memos and reports, conducting research and creating of presentations and reports. Screening phone calls, enquiries and requests, and handling them when appropriate. Meeting and greeting visitors at all levels of seniority. Organizing and maintaining diaries and making appointments. Liaising with clients, suppliers and other staff. Ensuring all projects are maintained and managed according to set out standards from Product Development Manager.
- Specific duties include but not limited to; _
- Managing of Operations & Product Development Managers diaries, arranging meetings for them as and when the need arises,
- Accurate minute taking of Management meetings and Managers meetings to be sent out 48 hours after meetings took place,
- Administration for Operations & Product Development Managers as and when needed.

**Responsibilities**:

- Accurate minute taking of monthly Management, Project meetings for the Group of Companies as well for the weekly Managers meeting.
- Managing of Workplace Induction should the new employee fall within one of the departments managed by the Operations and/or Product Development Manager.
- Managing of Exit procedure should the terminated employee fall within one of the departments managed by the Operations and/or Product Development Manager.
- Accurately checking and capturing payroll of the departments managed by the Operations and/or Product Development Manager and send through to HRM by due date given.
- Composing of correspondence, memos and reports, conducting research and creating presentations and reports when needed by the Operations and/or Product Development Manager.
- Overall administration for the Operations and/or Product Development Manager includes printing, filling, saving documents on the server and capturing of any kind.
- Notifying the Group of Companies if the Operations and/or Product Development Manager is on leave, sick leave etc.
- Liaising with clients, suppliers and other staff as and when needed.
- Arranging travel (local and international), visas and accommodation.
- Arranging conference calls and meetings for the Operations and/or Product Development Manager..
- Pulling and sending out weekly reports as expected and requested from the Operations and/or Product Development Manager.
- Administrative duties within Projects and Operations as and when required.

**Requirements**:

- Proven work experience as Personal Assistant or similar role.
- Knowledge of organizational effectiveness.
- Familiarity with business principles.
- Excellent communication skills (written and verbal).
- Outstanding organizational skills.
- Diploma in PA / Secretarial / Management Assistant or related field would be beneficial.
- The ability to adapt and drive change within the parameters of ever changing business phenomena.
- Valid driver's license and vehicle.

**Salary**: R12,000.00 - R15,000.00 per month

**Experience**:

- Projects Administration: 4 years (required)
- Operations Administration: 3 years (required)
- Minute Taking: 4 years (required)
- Overall Assistant: 4 years (required)

License/Certification:

- Drivers License + Vehicle (required)
