**Main purpose of the job**:

- Contributing to the smooth running of RHAP by providing administrative, operations, and financial support in compliance with WHC policies and regulations and donor contracts

**Location**:

- **Rosebank - Johannesburg**

**Key performance areas**:

- Financial and procurement administration support_
- Reporting on grant budgets (planned versus actuals) in line with donor contracts
- Managing Budget allocations for expenses/payments as per grant contracts, ensuring expenses are allocated to the correct budget line items
- Assist in donor financial reporting and liaise with the WHC finance team
- Reconciling project credit cards
- Oversee and reconcile petty cash, advances
- Assist with cost reallocations and cost recoveries across grants
- Ensure the division is meeting donor budget/financial agreements as well as WHC compliance guidelines regarding its finances
- Work with suppliers to prepare tax invoices, bank confirmation letters, and company registration documents
- Load payments on P2P and Submit payment requests via EPMV
- Source company registration documents, submit to compliance for loading & file accurately
- Communicate with suppliers in a timely manner about payment status
- Manage correspondence from/to suppliers and resolve any discrepancies
- Draft motivation letters for advanced payments
- Human Resources_
- Verifying project payroll monthly summaries sent by HR
- Processing any reallocations/cost recoveries relating to payroll/salaries in compliance with WHC guidelines and donor/grant agreements
- Service Provider/Contractor Management_
- Support project teams preparing documentation for the procurement of goods and services and liaise with contractors to compile required documents/information
- Liaise with all RHAP service providers/contractors to ensure invoices are submitted and paid timeously
- Maintain electronic files for all contractors, including signed contracts & required documents and invoices
- Support project teams in contract payment/tracking
- Liaise with WHC finance and legal/contracts team on a regular basis to ensure consistent, clear communication and compliance with WHC guidelines
- Verifying project payroll monthly summaries sent by HR
- Administrative Support_
- Perform miscellaneous clerical duties such as courier, posting services, and drafting and editing letters
- Assist in ordering office supplies and stationery
- Perform any other ad hoc administration duties as assigned
- Book travel arrangements, flights, car rentals, accommodations, and per diems for staff and external stakeholders
- Proactively support the travelers to ensure arrangements go smoothly per plan

**Required minimum education and training**:

- **Grade 12 with relevant Diploma or Degree in Finance or Business Administration or the like**

**Required minimum work experience**:

- **Minimum 3 or 5 years of Business, Finance, Operations, and Administration experience**

**Desirable additional education, work experience, and personal abilities**:

- Excellent proficiency in MS Office 365, including Word, Excel, and Teams
- Experience working in a donor-funded Organisation/NGO or project-based environment or grant management
- Budget planning and Budget management
- Exceptional organizational, finance, operations, and administrative skills
- Strong attention to detail
- Client-focused, confident, and friendly
- Proactive, able to exercise discretion and independent decision-making
- Able to prioritize own workload and meet deadlines
- Self-motivated and able to work independently and work as part of a multidisciplinary
- Ability to use/learn in-house online procurement and payment systems
