**The Role**:
**Key Responsibilities**:
**General Administration**:

- Respond to GDPR requests and maintain accurate GDPR records.
- Answer and distribute incoming calls from the Gattaca main telephone line.
- Support the coordination of events and activities for our South Africa-based team.

**Learning & Development Support**:

- Lead the coordination and administrative duties for onboarding programs, collecting data for the weekly O4S Dashboard.
- Manage the organisation of both online and in-person training sessions, including sending invites, tracking attendance, and creating feedback forms.
- Update training logs and assist with ad-hoc reporting for the Learning & Development team.

**Data Analysis**:

- Support the HR Data & Systems Analyst with weekly and monthly reporting and system administration support.

**Document Control**:

- Ensure that current documents are posted on the company intranet and that expired documents are either reissued or archived.
- Maintain compliance with ISO standards and escalate any critical out-of-date documents.
- Request and complete appropriate client form, requesting information from clients as part of the onboarding process.

**References**:

- Send out daily reference requests for contractors and keep the reference tracker updated.

**Weekly Office Reporting**:

- Collate daily staff attendance reports for our Whiteley, Winnersh, and London offices.

**Key Skills**:

- Proven experience in an administrative role.
- Strong attention to detail and excellent communication skills.
- Solid numerical and analytical abilities.
- Intermediate-level IT skills, particularly in Microsoft Office, with proficiency in Excel.
- Ability to work to tight deadlines and effectively manage time.
- Commitment to continuous professional development and shared drive for success. Confident telephone manner.
