**Overall purpose of the job**:To effectively and efficiently perform the general administrative functions of the Commercial Sales Manager’s office. This encompasses handling all documentation/correspondence, filing, office admin, Reports, analysis, presentations, travel arrangements, appointments/meetings, visitors, suppliers/customers, and maintain strictest confidentially in all instances.

**Duties & Responsibilities**:

- To coordinate and book all meetings for the Sales Manager with staff, clients and management and one on one with individual staff.
- Take minutes at meetings as and when required.
- Ensure accurate minutes of meetings are recorded either on a daily, weekly or monthly basis
- Ensure that agendas and minutes are distributed timeously
- To maintain the Sales Manager’s diary
- To type correspondence as and when required
- To maintain Sales Managers Filing systems
- To ensure all outgoing documentation/ is distributed
- To screen all documentation/correspondence for the Sales Manager, prioritise it and obtain required information from all departments.
- To answer and screen all calls to Sales manager.
- To coordinate certain Projects with various role players from inception to completion, on behalf of the Sales Manager.
- Consolidating and managing all Sales reporting for the National Sales Team for presentation to the Sales Manager.
- Tracking individual Pipelines on Pulse for the Sales Manager.
- Analysing and escalating concerns on Planners.
- Calculate and report on Closing Ratio’s.
- Analysis of Reports as and when required.
- Knowledge of Pulse / SAP would be advantageous as to assist with Commission queries.
- Assist with Presentations as required by Business.
- Telephonic assistance with any problems/complaints that reach the Sales Manager.
- Give detailed feedback to clients or colleagues as and when required.
- To make travel and accommodation arrangements for the Sales Manager or other managers.
- Ensure that travel and accommodation arrangements are within budget.
- To screen and receive any visitors to the Sales Manager’s office, ensuring clients are comfortable and refreshed
- To carry out any ad-hoc functions which the Sales Manager may require from time to time.
- To assist any staff requiring an appointment with the Sales Manager.

**Minimum qualifications and experience**:

- Matric / Grade 12
- Relevant qualification
- Computer Literate (MS Office, advanced Excel, Word, PowerPoint)
- Minute taking
