**Job Summary**

The function of a Dispatch / Receiving Clerk is to ensure that all stock received are distributed internally and to verifies the stock against company stock records. Arranges internal distribution of stock received and to schedule the dispatch of stock with completed documentation. This position is also responsible for accurately packing of stock and preparing of outgoing orders and ensuring the correct handover thereof to clients. As a dispatch clerk, your job duties also include scheduling stock transportation, assigning and tracking deliveries, preparing work orders and following all company regulations to keep track of and check in on incoming orders and to check out going stock by ensuring that all inventory is received, checked, offloaded, inspected, captured and warehoused correctly and to ensure that all stock received and outgoing stock matches the order placed at suppliers.

**Primary Duties**:

- Professionally attend to clients arriving to collect orders.
- Checking picked stock received from warehouse staff according to the picking slip, ensuring the correct part numbers and quantities are assigned.
- Pack all outgoing external and replenishment orders, ensuring correct paperwork is attached.
- Dispatch correct orders to collecting customers, ensuring PODs are signed electronically.
- Dispatch orders to the collecting courier company / clients, ensuring waybills are accurately completed, correctly signed on a daily basis and filed.
- Regularly updating the dispatch shelf whiteboards to ensure picked and packed orders are easily identified on the dispatch shelves.
- Managing the checking, packing, and dispatch of exports order, ensuring the correct paperwork is attached.
- Assist the driver with on-time preparation and packing of all orders on delivery and ensure all correct paperwork is attached.
- General housekeeping of the dispatch area, keeping the area neat and tidy, and ensuring stock is packed correctly.
- Conduct various tasks to support the company’s operations in the warehouse
- Assisting with quarterly stock takes.
- Manage recycling of packaging materials.
- Assisting with warehouse duties when required.
- Ensure all company policies and procedures are followed.
- Assist with tasks related to the company operations that might fall outside the above-mentioned responsibilities.
- Timeously attending to clients, having sales orders ready for clients & courier collections.
- Accuracy of dispatched orders and completeness of paperwork.
- Whiteboards are updated at all times and level of housekeeping.
- Stocktake results/ discrepancies.
- Assist with Marketing
- Collaborate with procurement staff to list expected deliveries
- Receive, unload, inspect, and verify shipments and sign paperwork upon receipt
- Assume responsibility for returning unsatisfactory shipments or receiving replacements
- Capture product received on Pastel accounting system by generating GRN
- Ensure all stock is packed safely and securely in warehouse
- Maintain accurate records and assist in inventory control
- Ensure receiving area and warehouse is neat and safe
- Ensure Health and safety protocols are followed at all times
- Manage receiving bulk store storemen
- Ad hoc duties requested by management
- Collaborate with procurement staff to list expected deliveries
- Daily/weekly Monthly - compile orders request for low stock items
- Monthly/Weekly - assist in Supplier Bulk stock reorder sheets in order to process Po’s at Supplier - Logistical manager will advise ETA ‘s in order to prep warehouse for space allocations
- Receive, unload, inspect and verify shipments and sign paperwork upon receipt
- Write all inconsistencies and expiry dates and serial numbers on POD, tax invoice of supplier, sign and keep copy, attach copy to PO
- Report any inconsistencies to Logistical/procurement manager and Contact supplier or shipper if a mistake is identified
- Assume responsibility for returning unsatisfactory shipments or receiving replacements

**Requirements**:

- Proven experience as a Dispatch / Receiving Clerk or in a similar role.
- Strong knowledge of general labour principles, practices, and regulations.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Strong organizational and time management skills.
- Well presented
- Ability to prioritize and manage multiple tasks and deadlines
- Fluent in Afrikaans, English
- Must have Grade 12

- Must have Experience on Pastel, Excel, Outlook, Word
