- A large manufacturer is looking for a strong, experienced operations coordinator that enjoys administration work, can handle a heavy work load in a stressful work environment, and is able to work independently with high levels of accuracy and dependability. This position is at their North Coast branch in KZN. Head Office is in Johannesburg.

- Key Responsibilities
- 1. All the operations administrative work related to KZN/Free State and Mozambique sales done by the KZN Senior Executive Salesperson who will also be based in KZN offices.
- 2. Act as an Internal Sales Assistant to the KZN Senior Sales Executive.
- 3. KZN warehouses. This includes managing the SLA in place with the warehouses, establishing and monitoring KPI’s, developing a good working relationship with the employees at the warehouses as well as the day-to-day stock position, stock transfers and stock issues in the warehouses.
- 4. Overseeing and coordinating weekly, mid-year and year-end stock takes.
- Purchasing responsibilities
- Capture supplier purchase orders on Axapta for SCG and Hanwha
- Open and maintain online files for new purchases and ensure that correct documentation is filed.
- Coordinate all CFR Shipments into Durban
- Liaison with suppliers when tracking documentation and follow up of shipment.
- Sending clearing instruction to clearing agents and liaison with the clearing agents for CFR shipments
- Liaison with customers, trader or warehouses pre-arrival of containers.
- Capture costings on purchase files.
- Capture GRV’s on Axapta for goods received into warehouse.
- Closing off of purchase file by capturing the purchase invoice on AX.
- Handle queries from the finance department regarding costs and invoices.
- Updating Shipment Schedule 2 times weekly
- Receiving documents from HSBC and suppliers for onward delivery to clearing agents (This is for Letters of Credit where originals are a necessity)

Sales responsibilities- Capture customer orders (SO) on Axapta.
- Certain customers will be assigned to the Operations Coordinator who will be responsible for developing a relationship with these customers and providing pricing and order confirmations, in coordination with the Senior Sales Executive.
- In Senior Sales Exec’s absence, provide pricing and order confirmations to balance of the customers.
- Coordinating orders every day with the Senior Sales Executive.
- Plan and execute releases as required. First 2 weeks of every month are particularly busy.
- Contact customers for payments and authorize release of orders based on account status.
- Process customer orders on Axapta
- Arrange/book vehicle for loading
- Process transport order on AX
- Capture packing slips on AX
- Send delivery instructions to transporters, warehouses.
- Invoice the sale once material is uplifted
- Send invoices to customers daily and copy in all accounts ladies.
- Liaison with transporters in Durban and Johannesburg regarding timeous deliveries to customers.
- Liaison with warehouses in Durban, Cape Town, Johannesburg and Beira (Mozambique) regarding delays in deliveries.
- Handle queries from customers regarding deliveries.
- Report and maintain records of any queries, claims or credit notes related to:

- Short deliveries
- Broken bags
- Missing bags
- Exports Responsibilities- Processing release documents on AX transport order plus packing slip
- Preparing export commercial documents on Excel
- Book vehicle for export load
- Send release paperwork to transporter and warehouse
- Invoice sale once material is uplifted
- Send invoice to customer
- Send tracking report to customer until load reaches site
