The Incentive Travel Specialist plans and manages incentive travel programmes that drive employee engagement, customer loyalty, and business growth. They work with clients to understand their objectives, develop customized travel packages, coordinate logistics, and ensure an exceptional experience that aligns with the client’s brand and goals. The role requires a blend of sales, creativity, project management, good interpersonal skills and strong vendor relationship skills.

**1.** **Sales and Business Development**:

- Pitch incentive travel programs to prospective clients.
- Attend industry trade shows and networking events to promote services and generate new leads.
- Collaborate on marketing materials that showcase program offerings and past successes.

**2. Program Design and Planning**:

- Collaborate with clients to identify objectives and goals for the incentive travel program.
- Design unique and personalized travel experiences that align with the client’s mission and reward objectives.
- Prepare detailed proposals and present creative travel options that meet client expectations and budget requirements.

3**. Vendor and Supplier Management**:

- Source and negotiate with hotels, airlines, local tour operators, and other service providers for competitive rates and quality services.
- Maintain strong relationships with vendors to secure preferred rates and exclusive experiences.
- Ensure all vendor agreements are finalized, and services align with program needs and standards.

**3. Logistics and Coordination**:

- Coordinate all logistics, including travel itineraries, accommodations, activities, meals, and transportation for participants.
- Manage pre-trip preparation, including documentation, itineraries, and any required travel insurance.
- Act as the point of contact for clients and participants, providing support throughout the travel program

**4. Onsite Program Management**
- Accompany groups to destinations when needed, ensuring smooth execution of all planned activities.
- Troubleshoot issues that may arise during the trip, providing prompt resolutions to maintain participant satisfaction.
- Oversee event logistics on the ground, such as awards ceremonies, group activities, and special events.

**5. Client Participant Support**
- Act as the primary contact for clients, addressing questions, concerns, and adjustments as needed.
- Provide customer service to participants before, during, and after the trip, ensuring a seamless experience.
- Gather feedback post-event to assess satisfaction levels and identify areas for improvement.

**6. Budget and Financial Management**:

- Prepare and manage budgets, ensuring programs are cost-effective and within the agreed-upon budget.
- Track all expenses, process payments to vendors, and reconcile accounts post-trip.
- Provide financial summaries and reports to clients, detailing costs, savings, and program impact.
