Contract Stock Administrator

As we continue to strive in excellence and service delivery Dream Hotels and Resorts is currently looking to employee a Contract Stock Administrator in their Stock Optimisation Department based at 360 Hub._
**ESSENTIAL**:
- Matric/Grade 12
- Minimum five demonstrated experience in Administration and Hospitality industry
- Estate Agency knowledge will be advantageous
- Prior National Credit Act/Regulatory (NCA/R) work experience or knowledge. Alternatively, prior contract vetting experience.
**KEY PERFORMANCE AREAS**:
- **Contract Vetting & Acceptance**
- Credit Vetting of new DVC memberships (Both new business & upgrade deals)
- Credit vetting of new Timeshare Deals
- Loading & Capturing of new DVC memberships
- Loading & Capturing of new Timeshare Deals
- Reporting on new deals
- Develop and manage a report detailing the approvals and rejections of all deals
- Dealing with sales agents or consultants in respect of contract discrepancies or queries
- Send confirmation & welcome letters to owners/members
- Contract scanning & documentation collection
- Resale transactions are processed professionally and correctly
- Informing Relevant departments of new sales
- Timeshare Availability
- Updating monthly sales register
- Updating weekly sales register
- Allocation of deposits and admin fees when loading deals
- The Allocating of bonus or referral bonus points as requested by agencies or sales team
- Commission Payments
- Paying agencies their commission weekly
- Generating commission statements on system
- Paying Agents (Internal) their commissions monthly
- Verifying that the commission statements are correct
- Adding marketing statements or any other invoices to the commission statement
- Reducing commission statement with relevant amounts
- Attain approval from management for the commission amounts before finalising commission statements.
- Load commission payment
- Attain signature from line manager for the authorisation submitted
- Submit the commission statement to the relevant people
- Submitting all finalised commission statements to the agencies and storing them public Drive on server.
- Submitting commission payments for internal sales team to be paid.
- **Contract Administration**
- Requests to transfer Timeshare to a third party
- Issuing of Share Certificates
- Reporting
- Cancellations of Timeshare Deals
- Reinstatement processing
- The updating of owner information on system
- Estate Late / Transfers / Addition of owners / Removal of owners & Surname changes
- Sending of valuation letters when requested
- The Sending of Resale Documentation when requested (After making offers of other property).
- Forwarding of cancellation documentation when requested (after making offers of other property)
