Payroll Supervisor

Chiltern Farms has a promising career opportunity for a Payroll Supervisor reporting to the Group HR Manager with a dotted line reporting to the Group Financial Manager. The successful incumbent will accurately oversee and manage the payroll, coordinating updates/changes, ensuring on-time accurate payments, and ensuring compliance with company and statutory requirements. The Payroll Supervisor's duties further include the management of the payroll team and departmental functions, coordinating with finance and other related departments to process payroll for employees, manage payroll schedules, third party payments (WCA/SDL/UIF/SARS/Medical/Pension Fund) and employee benefits.

Duties & Responsibilities
  1. Payroll Processing
    1. Calculate and process employee salaries, wages, piece work, bonuses, and other compensation accurately and on time.
    2. Validate timekeeping records and resolve discrepancies.
    3. Process payroll adjustments, including bonuses, overtime, and deductions.
    4. Assist FM with calculation of annual profit-share amounts.
    5. Reconciliation of payroll system to financial system.
    6. Preparation of payroll journals.
    7. Applications for tax directives.
    8. Manage and complete UI19 documentation.
    9. Assist in CTC calculations for potential candidates.
  2. Tax compliance
    1. Ensure accurate and timely withholding and remittance of payroll taxes.
    2. Stay updated on tax regulations and make necessary adjustments to ensure compliance.
  3. Benefits administration
    1. Ensure accurate and timely withholding and remittance of payroll taxes.
    2. Review all third-party payments and reconciliations.
    3. Liaise with third-party administrators regarding medical aid and pension fund.
    4. Maintain accurate and up-to-date payroll records.
    5. Prepare and maintain related employee records.
  4. Compliance
    1. Ensure compliance with local regulations governing payroll.
    2. Prepare and file payroll-related reports, such as monthly and annual tax returns (EMP201, WCA, EMP501).
  5. Audit support
    1. Assist in internal and external audits related to payroll and employee compensation.
Desired Experience & Qualification
  1. Qualification
    1. Bachelor's degree in accounting, finance, or a related field.
    2. Certified Payroll Professional (CPP) designation can be beneficial.
  2. Knowledge and Experience
    1. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint & Outlook).
    2. A minimum of five years' experience in a similar role.
    3. Experience in the payroll of wages and salaries of 2500+ employees (large payroll).
    4. Proficiency in using Payroll software (Extensive experience on SAGE 300 people payroll will be advantageous).
    5. Good understanding of and working knowledge of all the appropriate Acts (LRA, BCEA, OSHA, COID, EEA, SDL).
    6. Excellent organizational and time management skills.
    7. Outstanding communication skills, both written and verbal.
    8. Strong analytical skills and attention to detail.
    9. High level of integrity and confidentiality when handling sensitive payroll information.
    10. Strong problem-solving abilities and a proactive approach.
    11. Ability to work under pressure and results driven.
    12. Meticulous and thorough nature or attention to detail.
    13. Committed team player and good leader.
