Job Description:
Manage the day-to-day office tasks of the Financial Manager. Assisting in various projects as well as dealing with all secretarial and administrative tasks.
Requirements and Qualifications:
- Grade 12 (required)
- Afrikaans and English
- Relevant Diploma in Office administration / Business Administration / Secretarial Support (an advantage)
- 3-5 Years Minimum Experience in an administrative support role
- At least 2-3 years experience as an FM assistant
- MS Office Suite
- Pastel (Accounting and Payroll)
- Diary Management
Responsibilities:
- Manage the day-to-day office tasks.
- Monitor, screen, respond to and distribute incoming communications.
- Setting up of telephone or video conferences.
- Schedule and participate in meetings and provide accurate records, transcribe, and distribute minutes of meetings.
- Drafting, reviewing, and summarizing of presentations and documents.
- Organize corporate events, book venues for meetings and organizes refreshments
- Manage and maintain executives' schedules, appointments, and travel arrangements.
- Prepare monthly expense reports.
- Manage multiple projects simultaneously.
- Assist with the management of Head Office payroll.
- Load payments for release.
- Handle insurance claims
- Liaise with other stakeholders to coordinate meetings
- Provide confidential secretarial support.
- Support Financial Manager with compliance to company policies and keep abreast of policy changes.
- Ability to maintain confidentiality surrounding company materials and information.
Skills Required:
- Demonstrated ability to work with a high level of initiative to tight deadlines and provide innovative thinking around administration.
- Able to work in a fast-paced environment.
- Working under pressure
- Deadline driven.
