Position Overview:

The Chief of Staff will be a key strategic partner to the CEO and executive team ensuring alignment across the organization and driving essential initiatives. This role requires an individual who is an overcommunicator proactive a quick learner (especially with new tools like AI and software) and hyperorganized. The Chief of Staff will coordinate with customers and possibly investors manage crossfunctional projects and ensure smooth operations especially during US business hours.

Key Responsibilities:

  • Strategic Planning: Collaborate closely with the CEO to define and implement the companys strategic objectives. Track progress on key initiatives to ensure alignment with broader business goals.
  • Project Management: Lead and coordinate backoffice/admin type projects ensuring resources are wellcoordinated and deadlines are met. Oversee project plans timelines milestones and deliverables.
  • Executive Communication: Prepare executive presentations reports and communications for both internal and external stakeholders. Act as a key liaison between the CEO and other executives ensuring clear and consistent communication.
  • Process Improvement: Identify and implement improvements using software and AI tools to boost efficiency across the organization. Maintain systems to track key business metrics and performance indicators.
  • Vendor and Offshore Talent Management: Identify onboard and manage vendors and offshore talent to support business operations. Ensure outsourced tasks meet high standards and deadlines.
  • Leadership Support: Coordinate team meetings capture action items and follow up on deliverables. Provide support to the CEO regarding business operations corporate governance and organizational development.
  • Stakeholder Management: Build and maintain relationships with key internal and external stakeholders including board members investors and partners.
  • Team Leadership: Lead and mentor a small backoffice team ensuring alignment with the companys strategic goals. Support the recruitment and development of key talent across the organization.

Qualifications:

  • 5 years of experience in a strategic or leadership role ideally in a highgrowth or corporate environment.
  • Proven experience managing crossfunctional projects and driving business initiatives.
  • Strong strategic thinking and analytical skills.
  • Advanced proficiency in data analysis and business intelligence tools.
  • Experience using software and AI tools to streamline operations and enhance efficiency.
  • Experience managing vendors and offshore talent.
  • High emotional intelligence with the ability to build strong relationships.
  • Exceptional communication and presentation skills.
  • Hyperorganized proactive and an overcommunicator.
  • Willingness to work US hours and manage teams across multiple time zones.
  • Quick learner especially with new tools like AI and software.
