Receptionist

Duties:
Receive visitors by greeting and welcoming them.
Direct and announce visitors.
Provide customer support by answering the phone and replying to emails in a timely manner.
Answer, screen and direct incoming calls.
Sort and administer mail.
Provide administrative support via phone or email.
Maintain the office and keep all the office equipment in check as well as order any necessary office supplies.
Responsible for maintaining office security and communicating with the security guards if needed.
Manage calendars by scheduling important meetings, arranging travel and accommodation, etc.
Coordinate boardroom bookings.
Perform other clerical receptionist duties such as photocopying, transcribing, filing, keeping records of office expenses, sorting and distributing paperwork, and related tasks.
Interact with colleagues to resolve important administrative challenges.
Provide relevant information to walk in prospective customers
Receiving walk-in customers and guests and making them comfortable
Directing or escorting guests or visitors to specific areas or correct offices
Creating, adjusting, or cancelling appointments when necessary
Faxing, scanning, mailing, and filing documents.
Informing other members of staff about visitors or cancellations
Entering customer details into the company's records or database
Manager the Vodacom account in terms of replacement sim cards and phones when necessary.
Making travel arrangements
Hospitality duties for the executive team, guests and meeting delegates i.e. arranging for food and refreshments.
Qualification
Matric / Any Administration post matric qualification
Minimum 3 years experience as a receptionist.
Ability to work under pressure and multi-task.
Computer literacy Microsoft package (Word, Excel, Outlook)
