We are looking to add an energic Office Administrator to take control of our Johannesburg office, working hand-in-hand with and under the guidance of our Cape Town Administrator.

You are able to wear multiple hats as the position requires within your job scope.

Experienced in handling a wide range of administrative duties and able to work independently with little supervision. Well organized, flexible, and enjoys the administrative challenges of supporting an office of diverse people.

Duties / Responsibilities:

  • Reception: receiving customers, guests and deliveries to the office and answering reception calls when required and taking messages for relevant person.
  • Offering refreshments to office guests (coffee / water).
  • Provide support services to the business team as required.
  • Liaising with Couriers sending & receiving parcels.
  • Stock control notifying Cape Town Office Administrator of any stock required well in advance.

On-boarding & Offboarding

  • Setting up new starters' desks with all necessary hardware and forms.
  • Giving new starters a tour of the office and introducing them to the fellow Nclose Team members.
  • Showing new staff the emergency exists, how to use appliances in the office.
  • Managing onboarding and offboarding forms and hardware.

Stock control

  • Tracking stock of groceries and cleaning products in the office and sending orders to Cape Town Office Administrator.
  • Tracking stationery stock and sending orders to Cape Town Office Administrator.
  • Stock control of all hardware for new starters.
  • Managing stock of Nclose merchandise.

Office events

  • Liaising with Cape Town Office Administrator to manage RSVPs and dietary requirements for office social events and sending order lists to Cape Town Office Administrator.

Office management

  • Monitoring office repairs / issues and liaising with any service providers to ensure the office and all equipment / appliances are in good working order.
  • Assisting with any preparations needed for23 client meetings at the office, refreshments & food when necessary.
  • In the absence of Cape Town Office Administrator.
- assist with travel and accommodation bookings.
- assist with completing documentation for Proposals or Tenders.
- assisting with any adhoc office admin related to Cape Town or JHB office.
