Personal Assistant to The Director

Well established company based in the Eastern Cape are looking to employ a qualified, experienced dynamic applicant to join their East London team.
The applicant will be required to provide administrative and executive assistance.REQUIREMENTS
- Office administration, Secretarial or equivalent qualification
- Valid driver's license
- Strong written and verbal communication
- Must be fluent in English (able to speak, read, and write competently)
- Fluency in IsiXhosa would be advantageous
- Strong computer skills (MSOffice suite)
- Excellent typing skills (accuracy and speed)
- Must be organized and meticulous
- Ability to work independently
- 3 years' + previous working experience in legal environment will be advantageous
- Exposure to supporting a director of a law firm (desirable)
KEY PERFORMANCE AREAS
- Proactively manage coordinate and maintain the diary of the Director
- Coordinate all aspects of meetings workshops and functions according to Director's requirements and within budget parameters
- Administrative support for meetings and workshops (collate, compile and distribute agendas, presentations, minutes within agreed timeframes)
- Manage incoming calls in the Director's office as well as correspondence (paper and electronic), responding independently where possible and in line with authorized judgement
- Ensure files (paper and electronic) are kept in order and easily accessible by the Director
- Prepare and check invoices and arrange for payments to ensure adherence to service level agreements
- Monitor and respond to incoming communications on behalf of the Director where appropriate ensuring efficiency and timeous response
- Must be familiar with the litigation lifecycle and be able to diarise files for actioning in accordance therewith
- Perform executive and oversight tasks in the place and stead of the Director concerned and must be able to analyze data and monitor the performance of others
- Ability to receive and execute instructions from the company's professional staff
