The specific duties of an assistant operations manager are to assist the General Manager in ensuring that client processes are efficient, improve the quality of the service offered to clients and as well retaining the clients for the business.

The assistant operations manager is also responsible for the day to day management of Accountants.

Responsibilities for assistant operations manager:

  • Help the clients' processes to remain legally compliant especially as it relates to employment legislation, financial and tax compliance
  • Examine client's financial data and use them to improve profitability
  • Monitor performance of team members
  • Find ways to increase quality of customer service to ensure client retention and satisfaction
  • Ensure that work is done is accurate, complete and of good quality
  • Ensure that appropriate work is being done to prepare for all client deadlines
  • Assist that appropriate checks are carried before management accounts reviews
  • Provides financial information to client by researching and analysing accounting data and preparing reports
  • Accurately reconciles General Ledger accounts and review trial balance.
  • Documents financial transactions by entering account information on the accounting system.
  • Recommends financial actions by analysing accounting options.
  • Summarizes and report financial status and performance by collecting information, preparing balance sheet, profit and loss statement, and other reports for clients.
  • Substantiates financial transactions by auditing documents.
  • Maintains accounting controls by preparing and recommending policies and procedures

Guides fellow team members by coordinating activities and answering questions:

  • Reconciles financial discrepancies by collecting and analysing account information and prepares non-financial reports
  • Secures financial information and ensures confidentiality.
  • Maintains financial security by following internal controls.
  • Prepares and processes payroll to ensure accurate payment of client's employee salaries by verifying documentation, where relevant.
  • Answers accounting procedure questions by researching and interpreting accounting policy and regulations.
  • Complies with legal requirements by studying existing and new legislation, enforcing adherence to requirements, and advising management on needed actions.
  • Prepares and accurately submits annual returns, and AFS in accordance to GAAP / IFRS.
  • Performs secretarial and administrative duties such as ensuring clients are registered with CIPC, UIF and COIDA.
  • Maintains customer confidence and protects operations by keeping financial information confidential.

Attributes are required:

  • Bachelor's degree in Accounting or Finance
  • At least 5 year(s) of working experience in a similar position and company
  • Experience with financial reporting requirements
  • Experience with supervision and management of subordinates, performance management and handling HR related matters
  • Strong numeracy, with a high level of accuracy and excellent attention to detail.
  • Organised with the ability to prioritise and complete tasks to meet tight deadlines.
  • Good interpersonal and communication skills is a requirement and must be capable of maintaining confidentiality.
  • Has the ability to problem solve and use effective judgement in making decisions
  • Ability to build and maintain effective client relationships
  • Ability to work under pressure and remain even tempered
  • Ability to set and achieve high standards for self and achieve goals
  • Good teamwork ability and willingness to assist team members to meet client expectations
