Role Summary

Responsibilities:

Office & Systems Management:

  • Oversee daytoday office operations, including managing office supplies, equipment, and facilities.
  • Coordinate administrative tasks such as customer orders, scheduling meetings, handling correspondence, invoicing, delivery bookings and maintaining records.
  • Ensure a clean and organized office environment (maintain the filing and record keeping systems)

Accounting and Financial Management:

  • Utilize QuickBooks for financial transactions, including invoicing, expense tracking, and payroll management.
  • Prepare monthly slips, paperwork and financial reports, and
  • Assist with procurement, planning and budgeting.
  • Collaborate with the finance team (Book keeper and accounting officer) to ensure accurate financial records.

Human Resources Support:

  • Assist with recruitment processes, including posting job openings, screening resumes, and scheduling interviews.
  • Maintain employee records, track leave balances, and process payroll.
  • Coordinate employee onboarding and offboarding procedures.

Technology and IT:

  • Troubleshoot basic IT issues and liaise with external IT support when necessary.

Communication and Coordination:

  • Serve as a point of contact for internal and external stakeholders.
  • Coordinate meetings, conferences, and travel arrangements.
  • Draft and proofread documents, presentations, and reports.
  • Vendor Management:
  • Collaborate with suppliers, contractors, and service providers.
  • Negotiate contracts, monitor service levels, and process invoices.

Qualifications and skills:

  • Matric
  • Proven experience as an office manager or in a similar administrative role.
  • Strong organizational and multitasking abilities.
  • Admin experience dealing with South African retailers and dropshipping companies
  • Proficiency in QuickBooks (or other accounting software) and Microsoft Office Suite.
  • Excellent communication and interpersonal skills.
  • Attention to detail with problemsolving mindset and have a cando attitude
  • Sense of humor, not take things too seriously and have the ability to laugh and learna lot
