  • A wellestablished manufacturing company specialising in the production of equipment to the food processing industries, dairy industries and pharmaceutical industries requires the above to join their team.

Minimum requirements for the role:

  • Minimum Matric.
  • Minimum 3 years Project administration experience.
  • Have Customer Service experience.
  • Must have some Technical background experience.
  • Have Inventory Planning skills.
  • Must have Import knowledge.
  • Advanced computer knowledge of Microsoft (Word, Excel, PowerPoint).
  • Have excellent attention to detail.
  • Have good Interpersonal skills.
  • Assisting Project Engineer and Managing Director with all project administration tasks.
  • Using the company's Financial/Project Module and Internal System to load new projects and follow complete project process (Costing, Milestones and Variation Reports) from start to finish.
  • Creating Contracts, Sales Orders, Proforma Invoices and Tax Invoices as per agreed terms by Customers.
  • Purchasing of all equipment/services required for the project from third party suppliers.
  • Submitting weekly tracking reports as well as final deviation reports to Managing Director.
  • Arranging and preparing of all shipping documents required for the movement of projects or stock to and from customers (Internationally).
  • Ensuring all accounting discrepancies are dealt with (unpaid Invoices, requests for credit from head office, loading of new suppliers).
  • Assisting Auditors with any documentation they might require during year end audits.
  • Assisting external sales staff (Gauteng and KwaZulu Natal) with equipment selection, sizing and subsequent quotation, drawing up the required RFI (Request for invoice) documents, giving all details, confirming costs etc.
  • Following up on all customer quotations and supplier purchase orders made.
  • Communicating expected delivery to client on all confirmed orders.
  • Checking on stock, both physically and on internal system.
  • Loading new clients, creating sales orders and invoicing for all new orders received.
  • Daily control of stock and reordering.
  • Preparing for weekly sales meeting for external sales staff i.e. sales, forecasts, targets, shortfalls.
  • Attending and taking of Minutes at sales meetings.
  • Building Excel Solutions; templates and reports for sales Manager/staff (12month rolling averages, KPI's, overall quote/sales performance tracking).

Salary package, including benefits, is highly negotiable depending on experience gained.
