Duties:

  • Liaison between customers, suppliers and personnel;
  • Data capturing of projects, i.e. labour, hours, material, etc. in spreadsheet format;
  • Source material for projects;
  • Request quotes from suppliers;
  • Purchase orders;
  • Maintain the company social media accounts, once a week;
  • Answering incoming calls, taking messages and redirecting calls as required;
  • Update and capture safety file;
  • Controlling time sheets of personnel;
  • Book appointments for medicals, training etc for personnel;
  • Day to day filing;
  • Invoicing;
  • Compile marketing brochures;
  • Handle Petty Cash;
  • Update white board with projects
  • Keep management statement updated and send to management once a week;
  • Diary management and arranging zoom calls and Microsoft team calls;
  • General office managements i.e. ordering stationary and consumables and update inventory lists;
  • Providing administration support to Management;
  • Organising and filing paperwork and computerbased information;
  • Scheduling and attending meetings while also taking minutes;
  • Organising staff's travel and accommodation requirements;
  • Updating and maintaining website;
  • Organise courier services when required;
  • Collect components/material if necessary.
  • Manage stock, etc.
