Job Specification: Junior Service Administrator - Denver

Salary Offered: CTC R14,000 - R16,000

Purpose of the Position:

To efficiently record customer calls and respond promptly to customer queries. Ensure accurate completion, costing, and closure of job cards.

Key Responsibilities:

  • Log and attend to all service calls accurately.
  • Open job cards for all customer calls.
  • Capture and complete all job cards accurately, both system and manual.
  • Continuously follow up on open job cards and obtain outstanding information.
  • Transfer spares to the correct technician for costing.
  • Mark warranty equipment and pass credit where required.
  • Accurately record technician hours, labor rates, and travel time.
  • Complete all work estimates accurately and timely.
  • Follow up on work estimates and ensure follow-through.
  • Ensure availability of spares for repairs; order spares promptly and follow up on outstanding orders.
  • Provide any required reports.
  • Manage technicians and service schedules.
  • Prepare service quotations and update reports with relevant information.
  • Update the whiteboard with spare status and other relevant information.
  • Track technician timesheets.
  • Log job calls on the system and follow through.
  • Update and monitor the support system (ASANA).

Minimum Requirements:

  • Excellent oral and written communication skills.
  • Experience with Syspro.
  • Strong planning and organizing skills.
  • Team-oriented mindset.
  • Ability to function under pressure.
  • Attention to detail and previous experience in service job card processing.
  • · Proficient in Excel for reports and spreadsheets.
  • Ability to multitask.
