Personal Assistant/Administrator

Job Purpose

Responsibilities:

General Office Administration:

  • Manage from Manager's desk.
  • Ensuring all documents, corporate files and filing are always up to date and filed systematically so that information is readily accessible to relevant persons.
  • Collects and analyses relevant information to compile reports and file accordingly.
  • Answers calls promptly and immediately forwards all messages taken.
  • Readily assist admin manager with adhoc tasks as requested.
  • Opens new files for potential new clients and SLA record keeping.

Record Keeping:

  • Ensures relevant information is always kept confidential according to legislative requirements noted in the POPI act, FICA and FAIS
  • Ensures electronic data is effectively captured, stored, maintained, and updated.

Client Queries:

  • Collaborates with other parties to deliver a quality service to the client.
  • Ensures that dealings and correspondence with clients are professional and diplomatic, whether in person, electronic medium or telephonically.
  • Claims Management Function:
  • Liaise with Broker and client regarding outcome.
  • Keep register and reporting system updated.
  • Assists clients at all reasonable times.
  • Ensures client returns correctly completed and signed forms and supporting documents within required time period.

Reporting:

  • Submit weekly registers to Manager and Stat consultant.

Requirements:

  • 2+ years' experience as a Personal Assistant in the Financial Industry.
  • Strong Advanced Excel knowledge and setting up appointments. (Beneficial)
  • Experience and clear understanding of POPI act, FICA and FAIS. (Beneficial)
  • Vehicle and valid Driver's License.

Role
Working Hours: 08:30 - 16:30 weekdays
