GROUP
STOCK CONTROLER for one of South Africas most cherished and award winning Hotel collections.

The Stock Controller is responsible for the control, maintenance, and reconciliation of the stock holding of the Collection group. This role involves ordering, receiving, storing, and issuing all inventory in line with company policies and guidelines.

The Stock Controller is expected to be proactive, analyzing situations and recommending alternative actions where necessary, all while adhering to company policies and business plans.


Tasks, Duties, and Responsibilities:

Responsible for Stock Control Function:

Purchasing:

  • Select suppliers after thorough research of their background and credentials.
  • Negotiate terms of inventory item agreements, considering price, quality, and continuity of supply.
  • Maintain good relations with suppliers and resolve any issues promptly.
  • Investigate and resolve supplier problems and account queries.
  • Ensure appropriate number of quotes are obtained for nonfood and beverage purchases.
  • Communicate all orders to relevant suppliers and follow up on outstanding orders.
  • Identify highcost items and notify management of major price fluctuations.

Stock Takes:

  • Conduct regular stock takes within prescribed time periods.
  • Adhere to stock take policy at all times.
  • Count food, beverage, and curio stock monthly, or as determined by senior management.
  • Count operating stock every 6 months, or as determined by senior management.
  • Conduct spot checks on various inventory items during and after stock takes.
  • Audit all midmonth and monthend stock takes.
  • Report all findings to the Accountant
  • Hospitality.
  • Capture finalized stock records on the stock system.
  • Generate accurate stock valuation reports based on stock count sheets.

Inventory Control, Invoicing, and Issuing:

  • Ensure completeness and accuracy of internal transfers and supplier invoices processed on the stock system.
  • Compare quoted prices to invoice prices and request credit notes if necessary.
  • Manage and authorize creation of new stock items on the stock system.
  • Ensure all items requisitioned are properly accounted.
  • Review and check all invoice batches for accuracy before submission for payment.

Menu Engineering and Pricing:

  • Maintain cost percentages for food and beverage and prepare daily reports for the General Manager.
  • Develop new menus for food and beverage in collaboration with the General Manager.
  • Cost and price all new additions to the sales index before listing on the system.
  • Update menu costs quarterly for all outlets.

General Control:

  • Maintain equipment expense sheets and perform closing duties for monthend purposes.
  • Prepare monthly stock control summary reports and stock journal for monthend processing.
  • Assist in preparation of input for monthend processing.
  • Prepare and publish various cost control reports as required by management.
  • Maintain storeroom inventory procedures and ensure access control to all inventory stores.
  • Keep stock holding areas neat and clean at all times.

Miscellaneous:

  • Attend meetings and training sessions as required by management.
  • Assist colleagues with similar or related tasks when necessary.
  • Ensure guest satisfaction by attending to their requests courteously and efficiently.
  • Accept flexible work schedule necessary for uninterrupted service to guests and stakeholders.
  • Continuously seek to improve efficient operation and knowledge of the job function.


This comprehensive role requires strong organizational, negotiation, and analytical skills, along with meticulous attention to detail and the ability to work effectively both independently and as part of a team.

**Loction : Hybrid position, based at head office in Stellenbosch, Western Cape.
