KZN:

  • Plan and coordinate vehicle loads/routes with approval from the Operations Manager
  • Creating of POD's, Barcodes and Orders
  • Tolls for BVO's and attending to the reconciling of slips
  • Responsible for arranging road diesel orders
  • Briefing and debriefing of BVO's before and after each load
  • Reconciling all slips from BVO's on debriefing
  • Liaise with customers and provide them with regular updates
  • Coordinate and cooperate with the fleet tracker to ensure that vehicles are tracked and monitored for compliance in terms of the following:
  • Route deviations
  • Adherence to speed limits
  • Unauthorised stops

Overseeing the day-to-day activities within ones allocated fleet, in respect of:

  • Ensuring that all required equipment is in order
  • Report any defects to Workshop manager
  • Vehicles parked neatly in allocated parking bays
  • Ensure tankers are washed by ensuing there is continuous communication between the Operations Department and the Wash Bay Department
  • Ensure tankers are correctly loaded in terms of both the customer's requirements as well as Company policy and procedures, and the prevailing Road Traffic Legislation
  • Be able to complete all relevant documentation for loading sites, loading abnormal loads, fire permits and cross border permits.
  • Provide all necessary information to ensure timeous completion of all crossborder permits
  • Ensure runners at the borders and clearing agents are clearing transport documents in time
  • Notify management and customers, and record any delays at the border at all times

  • Ensure proper records of cross border permits are kept
  • Ensure all relevant cross border tickets are kept on record (carbon, tax, coupons, environment)
  • Ensure each vehicle has a fleet file (tachos and trip sheets are filled accordingly);
  • Ensure BVO duty hours are captured
  • Ensure BVO man hours are captured, (if required)
  • Awareness and management of driving hours, fatigue management and loading times
  • Ensure that vehicle loads are captured on a daily basis on the internal software, (loads, kms, volumes, tolls, vehicles etc)
- ensure vehicles are used in accordance with established rules and regulations and that vehicle usage data is correctly recorded.;

  • Maintain daily duty rosters of BVO's and dispatch vehicles daily
  • Arrange for retraining and recertification of BVO's and registration and recertifications of vehicles
  • Collect daily and weekly vehicle checklists, verify their accuracy, and work with BVO's to correct any problems;

Administrative / General:

  • All documentation relating to the customer's requirements must be managed, documented and provided
  • Must be up to date on all aspects of the laws and regulations governing the fleet transportation industry
  • Toll reconciliations
  • Monitor toll costs and present data on a weekly and monthly basis to Management
  • Ensure that all BVO files are up to date incorporating licence validation, personal details, completed training, etc
  • Completing weekly KPI reports
  • Communicate effectively with clients and respond to their requirements
  • In conjunction with your supervisors, book subcontractors and ensure they deliver within agreed terms
  • Perform any and all general administrative duties associated with your responsibilities
