PEOPLE SOLUTIONS


PURPOSE OF THE JOB


Reporting to the People Solutions Manager, the purpose of this role is to work as part of a dedicated and professional team to support the People Solutions Department in the administration of initiatives, processes and interventions in the broad areas of Talent Management.

As part of a busy team, this role will have to be flexible, possessing a positive and proactive attitude and approach to teamwork, dealing with a varied amount of information and data in a heavily customer-focused and solutions driven service environment.


KEY RESPONSIBILITIES:

  • Provide administrative support to the team;
  • Manage departmental financial administration according to the standard procedures and policies (budgets vs actuals, reconciliations, purchase orders, invoicing, journals);
  • Assist with the compilation of the annual People Solutions expense budget;
  • Organise key meetings with various stakeholders as well as general diary management for the team when needed;
  • People Solutions office management;
  • Assist with the distribution of various correspondence to employees;
  • Sourcing and arranging venues as well as booking transport and accommodation for various interventions;
  • Assist with organising company events and conferences;
  • Assist in compiling monthly and quarterly management reports;
  • Assist with the onboarding process for new employees;
  • Assist with general People Solutions queries;
  • Ordering stationery and IT equipment;
  • Implementing and maintaining procedures/office administrative systems

JOB INCUMBENT REQUIREMENTS

  • Grade 12 with diploma / certificate in office administration or related course;
  • 35 years' secretarial or administrative experience preferably in an HR environment;
  • Budgeting and financial knowledge;
  • Knowledge of Gsuite would be advantageous;
  • Knowledge of administrative processes and methodologies (e.g. design of filing systems)
  • Knowledge of HR and OD processes and practices.
