Reception Duties and Responsibilities

  • Greet clients and visitors to create a positive and professional office environment.
  • Answer incoming calls, take messages, and direct calls appropriately.
  • Monitor and report VoIP line quality issues to the team.
  • Organize and manage files and records efficiently.
  • Handle boardroom bookings and communication to avoid clashes.
  • Coordinate mail collection and distribution.
  • Receive and manage supplies and parcel deliveries.
  • Keep track of staff movements.

Administrative Duties and Responsibilities

  • Coordinate lunch orders based on lunch order sheets.
  • Daily reconciliation of lunch orders using spreadsheets.
  • Communicate with lunch suppliers regarding complaints or queries.
  • Manage vending machine refills and maintenance.
  • Handle stationary supply and stock control.
  • Conduct a weekly audit of cleaning staff's issued stock and report any discrepancies.

Procurement

  • Request and compare quotations for stationery and grocery replenishment.
  • Prepare and submit purchase request forms (PRFs) for all procurement.
  • Generate PRFs for lunch orders to facilitate vendor payments.

General Duties and Responsibilities

  • Report faulty equipment, damaged furniture, or structural repairs needed.
  • Maintain the Reception Standard Operating Procedures (SOP) and suggest improvements.
  • Monitor parking availability and report any issues to the HR & Facilities Manager.
  • Ensure the smooth operation of the company reception and telephone system.
  • Weekly management of stock control sheets.
  • Report any misuse of resources or stock.
  • Support the Logistics team with scanning and archiving Proof of Deliveries (PODs) into Acumati.

Candidate Requirements

  • Matric certificate.
  • Proficiency in Excel.
  • Additional administrative training is a plus.
