Reporting to:
Managing Director


The incumbent will be responsible for but not limited to; organizing and coordinating office administration and procedures, to ensure organizational effectiveness, efficiency, and safety.

Developing intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision, bookkeeping and task delegation. This position will require an all-rounded professional, financial acumen with decision making authority.

Business Planning & Reporting
Office Management

  • Develop, drive, and manage Business Unit(s) strategies, action plans or objectives aligned to the Company strategy.
  • Prepare and submit comprehensive and accurate presentation reflecting the Business Units' progress against targets, objectives, and indicators to Management Committee meetings
  • Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed & approved, and that clerical functions are properly assigned and monitored.
  • Establish a historical reference for the office by outlining procedures for protection, retention, record disposal, retrieval, and staff transfers.
  • Assisting the organisations' senior managers by keeping personnel records up to date, arranging interviews and updating financial documents.
  • Allocate available resources to enable successful task performance.
  • Ensure compliance and adherence to all admin policies and procedures
  • Review GRV's and GIV's
  • Arrange and attend weekly and/or monthly departmental and monthly management meetings & record and distribute minutes.
  • The point person for maintenance, mailing, shipping, supplies, equipment, stock & inventory control, bills, and errands.
  • Ensure that all signed contracts and SLA's are filed appropriately.

Human Resources

  • Verify and sign off weekly timesheets.
  • Coach, mentor, and discipline office staff.
  • Organising induction programmes for new employees.
  • Ensuring that health & safety policies and all compliance related are up to date.

Customer & Supplier Relationship Management

  • Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time.
  • Dealing with correspondence, complaints and queries.
  • Advising and or escalating all highend queries to senior managers.

Bookkeeping/Finance Administration

  • Perform full duties of a Petty Cash Custodian as per the Petty Cash Procedure & Policy
  • Reconcile all receipts and finance source documentation for submission to the company Accountant
  • Booking transport and accommodation
  • Approving internal order requests i.e. stationery and IT Equipment

REQUIREMENTS:

  • Proven office management, administrative, or assistant experience
  • Knowledge of office management responsibilities, systems, and procedures
  • Knowledge of human resources management practices and procedures
  • Excellent time management skills and ability to multitask and prioritize work
  • Attention to detail and problemsolving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficient in Microsoft Office
  • Basic accounting skills
  • Reliability and discretion: you will often learn of confidential matters

QUALIFICATIONS AND EXPERIENCE:

Previous office-based, general management and customer-engagement work experience is _essential/non-negotiable_

  • Preferably a Bachelor's degree in business administration, communications, or a related field
  • 49 years of work experience in an administrative/office management role
  • Must be a selfstarter and driven

Salary:
From R15,000.00 per month
