Role Purpose:


The position will provide support by managing the reception and switchboard and everyday administrative tasks to identified stakeholders in an effective and efficient manner.


Key Areas of Responsibility:

Manage the switchboard:

− Efficiently manage incoming calls, directing them to the appropriate employees or department with professionalism and courtesy.

− Take and relay messages to internal stakeholders accurately and efficiently.

Managing Front of House:

− Greet people entering the organisation and direct people accordingly.

− Create a welcoming atmosphere for visitors and employees.

− Ensure the front desk area is always organised and presentable.

− Co-ordinate meetings and organise catering.

− Manage calendars for key stakeholders as required.

− Ensure meeting rooms are reserved and prepared.

− Monitor visitor access and maintain security awareness.

− Ensure knowledge of staff movements in and out of the organisation.

Administrative Support:

− Assist with various administrative tasks, including data entry, document preparation, and filing.

− Prepare and Manage courier services.

− Maintain a systematic and organised filing system for both physical and digital documents, making retrieval efficient and easy.

− Manage and order office supplies to ensure the smooth running of daily operations.

− Receive, sort, and distribute mail and deliveries.

− Provide general administrative and clerical support.

− Prepare and manage travel arrangements on an electronic travel platform.

Minimum Requirements:

− Matric / Grade 12.

− Office Management diploma or related qualification. (Non-negotiable)

− A minimum of 2 years' experience in a similar role in a corporate environment. (Non-negotiable)

− Computer literacy, including Word, Excel, and Outlook.

Valid drivers license and own transport.
