Duties & Responsibilities

Compliance, Governance and Assurance    

Adhere to sound corporate governance principles and address discrepancies. Ensuring compliance with Exxaro’s policies and regulations and maintaining ethical standards. Ensure that event venues and suppliers meet all relevant laws and regulations requirements. Ensure that insurance, legal, health, and safety obligations are followed during the events. Stay abreast of high-profile event regulations/protocols applicable for high profile corporate events.

Corporate Events    

Plan, coordinate, and execute dynamic and engaging internal and external promotional, business and social events (e.g., conferences, seminars etc.) seamlessly, to drive Exxaro’s strategy and culture. Plan, coordinate, and execute dynamic and engaging corporate events to drive organisational strategy and culture, ensuring alignment with Exxaro’s brand identity, culture, values, and messaging. Developing and implementing comprehensive corporate event plans that align with the organisation’s strategic objectives and the overall Corporate Affairs strategy. Collaborate with internal teams (e.g., Sustainable Impact, Strategy and Growth) and maintain open communication with senior management to ensure successful execution of events. Manage event budgets, ensuring cost-effective execution and effective resource allocation. Apply continuous improvement of events to ensure dynamic, immersive, and trendy event experiences, aligned to our Sustainable Growth and Impact Strategy. Ensure integration and alignment within the Investor Relations and Liaison team, functional and operational areas, and Business Units (BUs). Align and collaborate planning within the corporate affairs team to publicise and promote events and key messaging. Align with internal teams to understand their precise requirements for the event. Generate innovative event concepts and themes that reinforce the brand’s positioning and resonate with the target audience. Oversee the design and production of branded materials, signage, and décor elements to create a cohesive and impactful event experience. Keep track of external strategic events that support the enhancement of our brand. Identify and manage Corporate Events risks.

Functional Excellence    

Developing and maintaining Exxaro’s brand identity and digital presence across all platforms. Creating and managing digital content that aligns with Exxaro’s brand identity and messaging. Collaborating with internal teams to ensure consistency in brand messaging and digital content. Monitoring and analysing the performance of digital content to identify areas for improvement. Managing relationships with external agencies and vendors to support digital branding initiatives. Ensuring that all digital content is in line with Exxaro’s brand guidelines and standards.

Internal Support    

Communicate clear guidelines on the execution of events and provide support as needed. Support the Lead in preparing relevant presentations, key messages, and briefing packs to prepare senior management for upcoming events and logistics. Collaborate with internal teams and maintain open communication. Coordinate logistics for events, such as venue bookings, transportation, and accommodation arrangements. Assist in tracking expenses and managing events team budget. Coordinate with suppliers and service providers to ensure timely delivery of services and materials. Assist in conducting post-event evaluations and compiling feedback for future event planning. Maintain a database of contacts for suppliers, contractors, and venues. Assist in ensuring compliance with Exxaro’s policies, brand identity regulations, and ethical standards during events.

People Management    

Staffing: Support in onboarding Corporate Events staff. Performance Management: Help clarify roles, responsibilities, and expectations. Support the lead in defining individual performance standards, monitoring, measuring performance, and rewarding or recognising high performance. Support in applying consistent performance and consequence management, taking prompt action against non- performance. Talent Development: Assist in actively managing talent through regular assessment of employees’ strengths, development needs, and progress. Provide support in ongoing mentoring, coaching, and development feedback to employees. Promote a culture of continuous learning. Culture: Embody and promote Exxaro’s values and culture. Translate and entrench the Company’s culture and values in Corporate Events. Address behaviours that undermine our organisations values. Foster effective teamwork and unity. Continuously encourage the Corporate Events function to appreciate Diversity, Equity, and Inclusion (DEI) and Environmental, Social, and Governance (ESG), ensuring employees are involved, energised, committed, motivated, and recognised. Demonstrate and encourage collaboration, including cross-functionally, and create a culture of collaboration. Communication/Engagement: Encourage open expression of ideas and foster dialogue. Seek out different opinions. Inform people of decisions, changes, or other relevant information. Proactively address conflicts and initiate difficult conversations. Team Development: Support in developing an effective and high- performing team, including establishing shared team purpose, principles, goals, and effective team player capabilities. Create an environment of accountability, transparency, respect, and trust.

Project Management    

Support the planning and project management of key/ critical Corporate Events initiatives using event project management principles to align with the group corporate affairs strategy and enhance stakeholders’ understanding of the Company’s priorities/key initiatives. Assist in planning and executing all Corporate Events activities related to such key projects, including managing the design/production of collateral by service providers in partnership with the public relations and media team. Engage and manage multiple stakeholders and service providers simultaneously to ensure seamless execution of events. Ensure inclusivity of internal subject matter experts where relevant to enhance event quality and relevance. Support the Corporate Events Lead in the supervision of the Practitioner to ensure effective execution of Corporate Events projects. Collaborate with and support BU communication teams in executing Corporate Events initiatives at the BUs. Assist in developing and managing the team’s Corporate Events projects budget and oversee budget management for the function.

Safe and Healthy Work Environment    

Maintain and ensure a healthy environment, safe operations practices, ensuring compliance with all applicable Safety Health and Environmental (SHE) policies/procedures in line with set standards. Encourage a culture that focuses on safety in all events.

Supplier Management    

Assist in recommending, identifying, and supporting the contracting process for service providers under the lead’s guidance, and help manage the provision of services including costs, delivery, quality, etc. Assist in addressing and mitigating performance issues under the lead’s direction to ensure seamless service delivery and adherence to Group governance. Support the lead in ensuring the prioritisation, inclusion, and empowerment of local communities in all event service delivery. Support supply chain relationship management and negotiations under the Corporate Event Lead’s direction. Build and nurture relationships with suppliers and service providers for a strong base network and sourcing list on various projects or events.
