Position Description
The Debtors Administrator will be responsible for managing all aspects of the to process debtors and reconciling debtors accounts in compliance with financial policies and procedures. You will be responsible to perform day to day financial transactions, including verifying, classifying, computing, posting and recording accounts receivables' data as well as preparing bills receivable, invoices and bank deposits in both Local and foreign currencies.
Requirements
- Must have Senior Certificate
- Preferably a Completed Relevant Qualification (i.e. Finance, Accounting, etc.)
- 3+ Years' experience in debtor collections
- Must have experience working on Pastel, SAP, Oracle or any similar accounts system
- Must have experience working on Microsoft Excel
- Experience with foreign currency accounting and international transactions preferred with a general understanding in regard to Withholding Taxes.
- Experience with cross -border billing process and foreign exchange risk management.
You must have proven ability to calculate, post and manage accounting figures and financial records and must be customer service orientated with negotiation skills.
Responsibilities
Collection and Payment Allocation
- Take responsibility for a portfolio of accounts.
- Completes daily allocations and reconciliation of debtor payments in various currencies.
- Ensure that all remittances are requested from all customers in order to have the receipts allocated accordingly
- Ensure that all Unallocated receipts have been allocated on a weekly basis
- Monitor accounts receivable aging reports and follow up on overdue accounts
- Reconcile customer accounts and resolve discrepancies related to payment and invoices.
- Collaborate with the sales and operation teams to align billing issues and customer inquiries.
- To achieve agreed collection targets
General Administration and Effective Record keeping process
- Prepare documents for Legal Handover to Legal Advisor
- Prepare, review and issue invoices in both local and foreign currencies
- Prepare weekly/Monthly Debtors reports in regard to accounts receivable ,cash flow and Bad debts to management .
- Daily control and monitoring of diarised issues and timeous action thereof
- To get confirmation from clients that they have received all invoices and statements on a weekly/monthly basis
- Completes credit notes, write offs and re-invoicing accurately and timeously and ensures that relevant supporting documents are attached
- Complete the processing of payment requisitions accurately and correctly by ensuring that all relevant supporting documents are in place and signed off by the allocated manager
- Completes the processing of journals accurately and timeously with the correct supporting documents
- Completes filing of invoicing, credit notes, bank statements & journals accurately and timeously
- To ensure that in the (Legal) hand over process, all records of correspondence can be produced
- Live updating of comments on the SAP to be updated on a daily basis
- Conducts all month end procedures by the 2nd working day of the month which includes all communication with clients and completed statements and invoices
- Effectively manage and minimise unnecessary refunding of monies to Customers
Effective Communication with all Stakeholders
- Ensures that engagement with clients on a daily basis is professional and that customer queries are resolved timeously
- Builds good trustworthy relationship with assigned debtors both telephonically, written, and face to face relationships
- Professional written and telephonic contact with customers that have defaulted on their monthly service payments
- Liaise with the Partners to assist in the collections on all accounts with outstanding debt
- Ensure that all customer queries are answered effectively (Turnaround time 48 hours)
- Participation in the collections team meetings
