· Implement and manage a complete fleet solution for the Group

· Acquisition of vehicles, taking into consideration whether the company should buy, rent or lease

· Need identification and organizing of services for all vehicles

· Acquire and implement software to manage fleet usage, particularly under or over utilization of vehicles

· Manage and maintain reports for vehicle registration, accident reporting, roadworthy certification, fines, insurance claims etc.

· Manage vendor selection as well as record keeping of parts replaced or repaired per vehicle

· Management of costs (including frequent benchmarks}, scheduling maintenance or all Company owned vehicles

· Manage and monitor drivers licence validity, as well as driver behaviour through software (paying special attention to harsh braking, speeding, accidents and fuel consumption)

· Manage all cost control in relation to responsibilities

· Assist the branch, regional and business unit managers to manage day to day fleet costs [may include unnecessary trips, private use, fuel card abuse, route planning, alternative solutions, such as public transport or outsourcing ("taxi” services)]

· Develop, update and ensure the implementation of the fleet policy and procedures which include vehicle assignment, personal use, replacement policy, accident reporting process, and other procedures are adhered to

· Analyse the existing fleet and transport needs, in order to determine what vehicles are to be purchased, leased or rented and how vehicles are to be equipped

· Assist the regional and business unit managers with transport planning when the need arises to move people and/or goods

· Determine if the fleet processes should be outsourced, to which suppliers they should be awarded, and to act as a primary contact with all suppliers [this would include fleet programs which manage, assign, and track the use of vehicles as required]

· Conduct complete liability report to determine the appropriate charge/finding of all accidents, and execute the company fleet policy when action is required [this includes compiling a docket/report in order for management to make a final decision on the incident]

· Investigation on all accidents done with legal, insurance, drivers and supervisor as well as acting as the single point of call re gathering information from vehicle tracking report

· Oversee the return of leased or hired vehicles and the sale of owned vehicles

· Manage, assign, and track the use of vehicles as required Monthly reporting on fleet expenses to management: Fleet size, kilometres driven, passengers transported, rental and leased vehicle costs, maintenance costs, accident and fines costs, fuel costs and labour costs (driver salary)
