We are looking to appoint Faculty Coordinator - Operations (x3).

Overall Job Purpose:

Coordinate faculty related campus staff, thereby ensuring the effective delivery and ongoing improvement of support services to the faculty. To assist the Faculty Manager in the day-to-day operations and management of all matters relating to Faculty administration. To liaise between the Faculty, campus and Academic Centre of Excellence (ACE).

Duties and Responsibilities:

Campus Faculty relationships

  • Share with campuses all relevant updates on policies, procedures, changes and plans of the Institution.
  • Reviews with the Faculty Manager, the academic operational requirements of the relevant campuses annually and defines a rollout plan.
  • Provides support and guidance to the campus faculty to resolve operational issues that may arise.
  • Maintains relationships with campus Academic and Operations teams and supports campus staff if and when required.

Academic Faculty Operations

  • Provides detailed academic operational guidance documentation to support the provision of a high-quality academic student experience.
  • Alongside the Faculty Manager, support the operational elements of the academic school between ACE (Academic Centre of Excellence), Dean/Deputy Dean and campus teams and vice versa.
  • Institution 'support the Faculty Manager on the delivery of the institutions academic material including the Learning Management System and monitoring of go live of online material to the campus teams.
  • Collaborates as part of the National office Academic Operations team to review all academic operational requirements and to establish an overall annual academic operational plan.
  • Monitors and tracks progress on the roll out of the academic operational plans to establish its status to ensure that the plan is on track.
  • Contributing to the collation of the National Assessment Schedule considering shared modules/out sync and Phase out modules.
  • Responsible for collating and maintaining the Programme Assessment Schedule.
  • First point of escalation for faculty related campus queries including For Action Now reports.
  • Monitors and tracks the external moderation process from end to end to ensure policy and moderation timelines are adhered too.
  • Alongside the Faculty Manager support the communication across the various platforms, contributing to Teaching and Learning, Faculty Board and clear guidance to the faculties across the campuses.

Collaboration with the Academic Centre of Excellence (ACE)

  • Works closely with the Deans, Faculty Manager, Heads of Campus Faculties and Campus Operations teams as well as ACE in providing a holistic/measured/well-rounded and considered approach to issues and challenges that exist.

Minimum Educational Requirement:

  • Minimum of a Bachelors Degree (NQF Level 7).
  • Candidates with a matric and 5 years academic administration and operations experience will be considered.

Minimum Work Requirement:

  • 3 years academic administration and operations management experience within a Tertiary Academic Institution.
  • 2 years project management experience.
