Job Title: Student Accounts Administrator

Reports to: Finance Manager

Job Summary

We are seeking a meticulous and organized Student Accounts Administrator to join our finance team. The successful candidate will be responsible for the accurate and timely tracking of monthly student payments, allocating those payments to the correct student accounts, and ensuring all financial records are up-to-date. This role requires close collaboration with facilitators to collect and verify proof of payments, maintaining the integrity of our financial data.

Key Responsibilities

  • Payment Tracking: Monitor and record all incoming monthly student payments from various channels.

  • Data Entry: Accurately capture and enter payment data into our financial systems.

  • Payment Allocation: Allocate each payment to the corresponding student's account, ensuring all records are balanced.

  • Liaison: Communicate effectively with facilitators to obtain proof of payment documentation from students in a timely manner.

  • Record Keeping: Maintain organized and accessible records of all payment transactions and supporting documentation.

  • Reconciliation: Assist with monthly reconciliations of student accounts to ensure accuracy and resolve any discrepancies.

  • Reporting: Generate reports on payment statuses, outstanding balances, and other relevant metrics as required by the Finance Manager.

Qualifications and Skills

Required:

  • A minimum of a grade 12 or equivalent. A certificate or diploma in bookkeeping, accounting, or a related field would be an advantage.

  • Proven experience in a data entry or financial administration role.

  • High proficiency in Microsoft Office Suite, particularly Excel.

  • Exceptional attention to detail and a high degree of accuracy.

  • Strong organizational and time-management skills.

  • Excellent communication and interpersonal skills for liaising with internal teams.

  • Ability to handle sensitive financial information with confidentiality and integrity.

Desired:

  • Experience with accounting software (e.g., Sage, or similar).
