About the Role

We are looking for a driven Leasing Coordinator to join the leasing administration team. Our preferred candidate will have experience in drafting leases, be familiar with MDA/MRI, place a high premium on honesty and integrity, value collaboration, demonstrate a strong work ethic and, possess the self-confidence and self-motivation to deliver against tight deadlines in a high-performance environment.

What You'll Do

  • Populating existing lease templates (e.g. lease agreements, and ancillary documents) in accordance with all internal company policies and procedures, ensuring that the legal document is accurate.
  • For renewals: Populate the LAF template, to be sent together with the required supporting documents to the Leasing Sales Manager to review and populate renewal terms.
  • Ensure that all FICA documents are current and accurate before proceeding with drafting or loading. If any documents are missing or outdated, liaise with FICA Compliance Admin to request updated versions.
  • Ensure the accurate input of deal specific information (premises, rentals, recoveries, deposit, lease fees etc.) into MDA/MRI and attaching the required supporting documents (LAF, lease agreement, addendum, cession) to the shared drive and MDA/MRI (the system);
  • Liaise with the finance department to ensure the lease fees and cash deposits are billed timeously.
  • Ensuring that the Commission sheet is regularly updated so that it reflects the status, as noted on the relevant CRM case.
  • On receipt of concluded documentation including ancillary documentation, such as renewals, amendments, addendums and cancellation agreements, ensure accurate capturing of lease data into the system, including marking the document as concluded on the system.Save the document to the shared drive and the system and send the signed document to the Tenant (copy sales).
  • Ensure take-on and take-back forms are received and saved on the shared drive and on MDA/MRI when a tenant has taken occupation of or vacates a premises. Forms to be sent to the relevant personnel.
  • Complete and submit Tenant Movement and Move-out forms to RMS and relevant personnel timeously when a tenant has taken occupation of or vacates premises. Forms to be saved on the shared drive and the system.
  • Conduct monthly pre-billing checks to verify that tenants are being billed accurately in line with the relevant lease provisions. Ensure that all supporting documents have been saved to the shared drive and the system and in the pre-billing folder where applicable.
  • Prepare commission calculations and save them on the system together with the supporting document. Email the relevant link to the accountant.
  • Update the system, as and when rates updates are received from finance.
  • Maintain digital filing system.
  • Maintain consistent communication ensuring that appropriate milestones and tasks are completed.
  • Assist with follow-up communications with tenants and Leasing personnel.
  • Other Administrative functions (updating CRM on MDA on a regular basis, ensuring that the relevant category is selected as the matter progresses).
  • Ensuring that company policies are strictly always adhered to.

What We're Looking For

  • Proficient to Advanced experience in Microsoft Word.
  • Proficient MDA experience will be advantageous.
  • Proficient Docfox experience will be advantageous.
  • Prior experience as a paralegal will be beneficial.
  • Knowledge of Excel at intermediate level will be advantageous.
  • Practical and relevant work experience must be demonstrated in the candidate's CV.
  • Contactable references are essential.
  • The candidate must have excellent verbal and written communication skills (speak, read, write).
  • Having Xhosa and/or Zulu language skills will be advantageous.
  • Ability to maintain a professional, "customer service" demeanour in all interactions.
  • Flexibility and a willingness to assist others.
  • Able to identify and address high priority matters as needed.
  • Ability to work independently without direct supervision.
  • Self-motivated and problem-solving experience.
  • Excellent time management/organisational skills.
  • Ability to meet deadlines and work well under pressure.
