Front Desk Receptionist

1. Reception and Communication
- Welcoming Visitors: Greet and welcome parents, children, staff, and other visitors in a warm, friendly, and professional manner, often being the "face" of the school.
- Phone Management: Answer all incoming phone calls promptly and professionally, taking and relaying messages accurately.
- Email and Correspondence: Manage the school's general email inbox, responding to or forwarding enquiries in a timely manner. Handle incoming and outgoing mail and deliveries.
2. Security and Safety
- Access Control: Strictly monitor and control access to the premises, ensuring all visitors adhere to security protocols.
- Child Pick-up/Drop-off: Monitor and track the arrival and departure of children, ensuring all children are signed in and only released to authorised adults, following strict safeguarding procedures.
- Attendance Tracking: Maintain and update daily registers (morning and afternoon) and follow up on absent children/late arrivals, and prepare daily fire registers.
- Emergency Contact: Serve as the first point of contact during an emergency, liaising with staff and management.
3. Administration and Support
- Administrative Tasks: Provide general clerical and administrative support such as filing, photocopying, scanning, laminating, and maintaining office equipment.
- Record Keeping: Maintain and update child, parent, and staff records on the school's database/filing system, including contact details and necessary documentation (e.g., registration forms, medical info).
- Enrolment Support: Assist the Nursery Manager with initial admission enquiries, sending out registration packs, and maintaining the school's waiting list.
- Office Management: Ensure the reception and front office area is neat, tidy, and well-organised. Order and manage stationery and supplies.
4. Key Requirements & Attributes
- Essential: Excellent communication (verbal and written) and interpersonal skills.
- Essential: Proficiency in computer skills (MS Office/email/database systems).
- Essential: Highly organised, detail-oriented, and capable of multitasking and managing competing priorities.
- Essential: A friendly, patient, discreet, and professional demeanour with a genuine love for children and an understanding of the importance of child safety and safeguarding.
Job Types: Part-time, Permanent
Pay: From R5 500,00 per month
Expected hours: No less than 35 per week
