Role Overview

We are seeking a highly organised, reliable, and professional Personal Assistant & Operations Coordinator to support a practising engineer with scheduling, coordination, and administrative tasks, while also assisting with the oversight of student communes. This role requires excellent organisational skills, strong communication, and the ability to manage multiple priorities across professional and residential operations.

The ideal candidate will be proactive, detail-oriented, and comfortable working closely with a senior professional in a trusted support role.

Key Responsibilities

  • Manage and coordinate the engineer's schedule, meetings, site visits, and deadlines
  • Assist with planning, organising, and prioritising daily and weekly tasks
  • Handle professional email correspondence, follow-ups, and documentation
  • Maintain organised project files, records, and reports
  • Coordinate communication between the engineer, clients, contractors, and other stakeholders

(Basic engineering knowledge is advantageous but not essential; training and guidance will be provided.)

Student Commune & Operations Support

  • Assist with sourcing, onboarding, and managing students in communes
  • Act as a key point of contact for students regarding accommodation matters
  • Conduct regular check-ins and inspections at student residences
  • Attend to student needs, concerns, and operational issues
  • Coordinate maintenance, handovers, and residence logistics

Administrative & Financial Support

  • Review and organise statements, payments, and basic financial records
  • Track rentals, deposits, and outstanding balances
  • Maintain accurate administrative records
  • Assist with general reporting and coordination

Operational & Travel Support

  • Drive between properties, offices, and sites as required
  • Assist with inspections, errands, and ad hoc operational tasks

Essential Requirements

  • Valid driver's licence and own reliable transport
  • Willingness and ability to travel regularly within Pretoria and occasionally to Johannesburg
  • Strong email, written, and verbal communication skills
  • Excellent organisational and time-management abilities
  • High level of professionalism, discretion, and reliability
  • Ability to work independently and take initiative

Advantageous (Not Essential)

  • Exposure to engineering, construction, or technical environments
  • Experience as a personal assistant, operations assistant, or administrator
  • Basic understanding of scheduling, technical documentation, or project coordination
  • Financial administration or bookkeeping experience

Working Hours

Full-time yet hours do vary. Those with another job may be considered depending on how time-consuming their other profession is.
