• Manage store assistants.
• Receive stock from supplier (compare PO to supplier invoice, compare to items delivered).
• Should items received not be correct, notify Procurement should there be a reason for different items received, otherwise
contact supplier and arrange for correct items to be delivered.
• Update procurement chat group of items delivered status.
• Every morning the PO for the day must be printed out and ready for suppliers to deliver.
• Follow up with suppliers to ensure they are going to deliver on the day of delivery.
• Items delivered must be checked in detail to ensure their correct part numbers, make, descriptions, volume, size and more.
• Technicians request van stock and materials by 16:00 to be ready for them to collect next morning.
• Manage material hand over to technicians.
• Project materials must be drawn from stock and put into the correct allocation ready for collection by staff.
• Materials for projects must be received directly into correct allocated area.
• A packing list will be issued for each project, and all items and materials must be made ready accordingly. Detail photos of every packing must be documented and double check system with sticker indicators must be applied
• Management of stores area.
• Management of dispatch area and vehicle parking.
• Management of delivery gate. Gate must be always closed and only open for deliveries
• Management of dispatch gate. Gate must be always closed and only open when items must be dispatched.
• Store keys must be kept by Stores Manager only and cannot be handed to other staff.
• Store entrance gate must be always locked. Only store staff may be inside the store.
• Items that cannot be delivered must be arranged to be collected. This arrangement must be made between Stores Manager, procurement and office manager.
• Special instructions are done via ClickUp system. ClickUp must be updated as required
• Store must be always kept clean.
• Cleaner is managed by Stores Manager, and his duties must be managed accordingly.
• Monthly stock take must be done on entire store. Allocate 1 working day for the stock take to be done. During stock take the stock/material movement must stop
• Van stock must be done monthly before main store stock take. Van stock is done before working hours to ensure van stock is complete before working hours.
• Stock items management must be done on an ongoing basis. Each item must be marked according to its stock ID number and placed in the correct bin.
• Store must always be in an orderly state.
• Material returns from site or technicians must be received, placed in the return bay first. All materials must then be sorted out in 3 groups. Scrap, return to suppliers, put into stock. management must be contacted where a final disunion will be made.
• No material or items can be placed into the scrap cage without contacting management
• Arrangements for skip to be collected as required.
• Tool store must be managed.
• All tools returned or handed out must be tested before returning or handing out.
• All tools must be checked in/out with scanning system.
• Tool audit must be done according to tool management system.
• New tools must be introduced into the system where all data must be filled in.
