Are you a highly analytical and detail-oriented professional with a passion for working with people and systems? We are seeking a Payroll Specialist (Maternity Leave Cover: 4 Month Contract) to join our team and play a pivotal role in ensuring that our employees get paid accurately and timeoulsy.
This role is the vital link between our Operationals Teams, HR and Finance
Reporting to the Finance Manager, The Payroll Specialist – Roles & Responsibilities but not limited to:
- Payroll Processing:
- Manage and process accurate and timely weekly and monthly payroll runs.
- Ensure compliance with tax regulations, labour laws, and company policies.
- Address payroll queries and discrepancies efficiently.
- Ensure all overtime is approved before processing.
- Employee Benefits Administration:
- Handle medical aid and pension fund applications, changes, and terminations.
- Assist employees with Two-Pot Retirement System applications.
- Reconcile medical, pension, and union contributions.
- Employee Records & System Management:
- Add and update employees on Sage 300 People (payroll system).
- Maintain accurate payroll records and ensure data integrity.
- Update employee banking details and ensure correct payment processing.
- Contract & Termination Processing:
- Process new employee onboarding, contract terminations, and final payments.
- Ensure exit procedures related to payroll and benefits are correctly handled.
- Reporting & Compliance:
- Prepare and submit weekly and monthly payroll reports.
- Ensure payroll-related compliance with SARS, UIF, and other statutory bodies.
- Generate reports on payroll costs, deductions, and overtime.
- Conduct monthly headcount comparisons (budget vs. actual) and provide reasons for deviations.
- Reconcile data between the Time & Attendance (T&A) system, Jarisson, and Sage to ensure payroll accuracy.
Qualifications & Requirements:
- Education: Matric (Grade 12) required; Diploma or Degree in Finance, Payroll, or a related field preferred.
- Experience: Previous payroll experience in a similar role is advantageous.
- Skills: Strong attention to detail, accuracy, and ability to work under pressure.
- Systems Knowledge: Experience with payroll software (e.g., Sage 300 People experience is a non-negotiable), Time & Attendance systems, and Excel proficiency.
