Wine Estate situated between Stellenbosch & Paarl in search of a highly organized, hands on and creative Venue Manager. It would be expected from you to plan, coordinate, and execute a wide range of events at this prestigious Wine Estate, including weddings, private functions, corporate events, and wine experiences.

The Venue Manager oversees the day-to-day operations of the venue, ensuring smooth event execution, excellent guest experiences, and efficient management of staff, stock, and sales. This role requires strong leadership, attention to detail, and a passion for hospitality.

Main responsibilities include (but are not limited to):

Staff Management

Recruit, train, and manage front-of-house, bar, and event staff

Prepare and manage staff rosters according to event schedules

Conduct pre-event briefings to communicate event details, duties, and service standards

Supervise staff performance and maintain a professional, friendly working environment

Ensure staff adhere to company policies, health & safety standards, and dress codes

Manage timekeeping, attendance, and shift reports

Stock Management

Conduct regular and post-event stock takes for bar, beverages, and venue equipment

Maintain accurate inventory records of glassware, crockery, linen, and furniture

Record and report all breakages, shortages, or losses

Manage stock ordering and supplier relationships to ensure adequate levels

Monitor bar and catering stock usage and reconcile sales versus consumption

Venue Operations

Oversee event setup, service, and breakdown to ensure smooth operations

Maintain the cleanliness and presentation of the venue, gardens, and facilities

Ensure compliance with all health, safety, and licensing requirements

Coordinate maintenance, repairs, and deliveries as needed

Manage access control for staff, suppliers, and clients during events

Venue Sales & Client Relations

Handle event inquiries, conduct viewings, and promote the venue for weddings, corporate functions, and private events

Prepare and send quotations, contracts, and invoices

Develop relationships with event planners, coordinators, and suppliers to drive bookings

Meet sales targets and provide monthly booking and revenue reports

Represent the venue at expos, open days, and marketing initiatives

Financial Administration

Manage deposits, final payments, and supplier invoices

Track event budgets and monitor profitability

Conduct bar cash-ups and ensure financial accuracy after each event

Provide reports on sales, staff hours, and stock usage

EDUCATION

Grade 12

Tertiary qualification will be adv.

Minimum 3–5 years' experience in event coordination, preferably within a wine estate, hotel, or high-end hospitality environment.

Proven track record in managing weddings and large-scale functions (event & venue management)

Sound understanding of stock control and cash management

Proficiency in Microsoft Office or event management systems

Availability to work evenings, weekends, and public holidays

SKILLS

Organized and self-motivated and takes initiative

Strong organizational and multitasking skills

Leadership qualities and ability to motivate a team

Fluent in English & Afrikaans

Excellent communication and customer service skills

Great at communication
