JOB PURPOSE
The purpose of the Project Lead role is to support the initiation, planning, design, execution, monitoring, controlling, and closure of projects. This position plays a key role in ensuring projects are delivered on time, within scope, and within budget. The Project Lead assists in coordinating the efforts of project teams, managing stakeholder communication, and handling both internal and external project environments to achieve project objectives. This role requires a blend of coordination skills, technical knowledge, and a hands-on approach to ensure project success. The ideal candidate will have some experience in managing projects, supporting teams, and delivering results within the constraints of schedule, budget, and resources.
KEY RESPONSIBILITIES
PROJECT COORDINATION (30%)
· Assist in managing project resources to ensure projects are delivered on time and successfully.
· Help develop and implement detailed project plans to monitor progress and make adjustments as needed.
· Participate in weekly regional scheduling meetings, providing updates on upcoming projects and discussing resource allocation and project scope.
· Maintain project work and resource schedules on a weekly basis.
· Oversee project work and resource schedules on a daily basis.
· Confirm relevant scope of work with resources.
· Coordinate with internal stakeholders, Asset Management, Field Services, Service Desk, and third parties/vendors to ensure smooth project execution.
· Facilitate communication with various internal departments to ensure necessary project equipment and resources are available across designated regions.
· Ensure resource availability and allocation from the Field Services resource pool, managing any limitations or conflicts with concurrently running projects.
· Monitor and document project issues, financial expenditures, potential risks, modifications in project scope, and scheduling adjustments, as well as issues related to resource management.
· Report and escalate nonconformance of internal teams regarding scheduling, documentation, or feedback to management as needed.
· Request management intervention when client requirements fall outside predetermined agreements.
· Perform risk analysis to minimize project risks, highlighting risks with the customer and outlining impacts on project schedule and cost.
· Create and maintain comprehensive project documentation, including project analysis, project overview, rail documents, reconciliation of site hours, and project close-off documents.
· Support team members' development and contribute to a culture of excellence and continuous improvement.
· Complete duties associated with contractor management, such as:
o Issuing purchase orders to contractors as required.
o Verifying project timelines with contractors.
o Informing contractors about schedule changes.
o Ensuring receipt of invoices to process payment instructions for contractors.
ADMINISTRATION (25%)
· Serve as the project's archival specialist, ensuring the accuracy and integrity of all project-related documentation.
· Organize and oversee project meetings, ensuring detailed records of discussions and decisions (meeting minutes) are maintained as required.
· Manage billing processes and validate invoice generation to ensure accurate financial tracking for submission to Finance.
· Conduct feasibility studies to assess the viability and potential success of project initiatives.
· Provide support to the project manager, offering essential backup and assistance to ensure smooth project execution.
REPORTS AND ANALYSIS (25%)
· Serve as the project's archival specialist, ensuring the accuracy and integrity of all project-related documentation.
· Organize and oversee project meetings, ensuring detailed records of discussions and decisions (meeting minutes) are maintained as required.
· Manage billing processes and validate invoice generation to ensure accurate financial tracking for submission to Finance.

CLIENT ENGAGEMENT (15%)
· Relay information regarding project delays and potential risks through both phone conversations and email communications.
· Deliver precise and timely feedback and reports on a daily basis as necessitated by project needs.
· Furnish improtant project documentation promptly upon request.
· Establish and maintain relationships with clients to foster collaboration.
POLICIES AND PROCEDURES (5%)
· Document and maintain SOP's – Standard Operating Procedures
MINIMUM REQUIREMENTS
· Project Management Certification Diploma/Degree,
· PMP / PRINCE II certification is a plus.
· Experience with agile methodologies.
· 2-3 years project management experience (at least 2 years Stowe experience/Similar industry knowledge)
· Keeping the end-user or client in mind and ensuring that project outcomes meet their expectations.
· Effective management of relationships with project stakeholders, including clients, team members, and executives.
· Ability to work under pressure and meet tight deadlines.

Pay: R15 000,00 - R20 000,00 per month
