The Role:

We are looking for a highly capable Project Manager to act as the operational hub across the agency's departments. You will ensure clarity, accountability, and consistency in delivery, connecting strategy, creative, and performance teams while maintaining oversight of all active projects.

This role is ideal for someone who thrives in a fast-paced, creative environment and can balance structure with adaptability. You'll play a vital role in supporting Poirier's continued growth by refining workflows, managing client projects, and ensuring our teams deliver exceptional work on time and within scope.

Minimum Requirements:

• Minimum 5 years' experience in project management within a digital marketing or creative agency.
• Strong understanding of agency workflows across multi channels i.e. SEO, Paid Media, Social Media, Web, and Creative.
• Advanced working knowledge of Asana – dashboards, automations, workflows.
• Solid understanding of digital agency operations and delivery cycles.
• Strong project planning, scheduling, and budget management skills.
• Confident with resource planning and team capacity tracking.
• Working knowledge of digital marketing concepts and metrics.
• Proficient in reporting and project performance tracking.
• Strong documentation and version control habits.
• Fluent in Google Workspace, Slack, and collaboration tools.
• Process-driven; able to streamline workflows and systems.

Key Performance Areas:

Project Ownership & Delivery

• Lead, plan, and coordinate multiple concurrent projects from concept through to completion.
• Translate briefs into actionable tasks, clear timelines, and defined deliverables.
• Monitor progress to ensure projects are delivered on time, on brief, and within budget.
• Identify risks and proactively implement solutions to avoid delays or scope creep.

Workflow & Systems Management

• Own and optimise Asana as Poirier's core project management tool.
• Build templates, automations, and dashboards to support scalability and visibility.
• Ensure all project information is structured for clarity and easy cross-team access.
• Assist with resource planning and capacity management in collaboration with team leads.

Communication & Collaboration

• Act as the primary point of coordination between internal teams and clients.
• Schedule and lead internal check-ins, project updates, and client status meetings.
• Ensure all stakeholders are aligned on timelines, priorities, and deliverables.
• Maintain accurate documentation for scopes, approvals, and project changes.

Process Improvement & Reporting

• Support continuous improvement initiatives across the agency's operational systems.
• Identify inefficiencies and propose practical solutions for better project flow.
• Provide regular reporting on project health, timelines, and workload to leadership.
