Role Overview
The Project Management Unit for Africa (PMU) is seeking to employ a Business Unit Administrator (BUA). This position will require a multi-skilled and experienced individual who can support project implementation across multiple functional areas within international development environments. The incumbent will report to the Unit Managing Director and will provide administrative and strategic support to the leadership team, while a proven ability to confidently manage confidential matters, streamline project operations, and cultivate strong stakeholder relationships are essential.

The BU Administrator will be adept at managing multiple project and strategic deliverables, coordinate high-level client engagements and maintaining meticulous records, while providing exceptional customer service. The position will require extensive skill and experience in project planning, data management, budget oversight, and compliance adherence. The BUA will lead a team of administrators within the unit across multiple delivery centres while strong communication skills will be needed to coordinate with regional offices and international teams throughout Greater Africa. The incumbent will ensure overall operational efficiency through comprehensive information and data integrity management within Zutari's protocols and systems. Finally, the incumbent's ability to coordinate and organise will be instrumental in managing the Unit's opportunity management and ability to generate Sales through efficient and timely submission of tenders and proposals.

Role Responsibilities

  • Strategic Support & Confidentiality

  • Provide high-level administrative support to the Unit Managing Director and leadership team.

  • Handle sensitive and confidential matters with discretion and professionalism.

  • Project & Operational Management

  • Oversee and streamline project operations across multiple delivery centres.

  • Coordinate strategic deliverables and ensure alignment with business goals.
  • Maintain meticulous records and ensure data integrity across systems.
  • Compliance monitoring and coordination with Quality, Health & Safety, Finance and HR Enabler groups

  • Client & Stakeholder Engagement

  • Facilitate high-level client engagements and foster strong stakeholder relationships.

  • Deliver exceptional customer service and represent the unit with professionalism.

  • Planning, Budgeting & Compliance

  • Support project planning and execution, ensuring adherence to timelines and budgets.

  • Monitor budget performance and ensure compliance with internal and external regulations applying the consistent practice documented in the way we work.

  • Sales & Opportunity Management

  • Manage the tender and proposal submission process to support business development.

  • Coordinate opportunity tracking and ensure timely responses to sales leads.

Minimum Requirements

  • National Diploma or Bachelor's degree in Business Administration, Project Management, or related field.
  • Minimum 10+ years of experience in a similar role within development or project-based environments.
  • Proficiency in project management tools and enterprise systems.
  • Experience working across multicultural and geographically dispersed teams.
  • Proven ability in stakeholder engagement and coordination with international partners
  • Proven experience in Data Management and Reporting
  • Experience as a Project Management Assistant will be an advantage
