Our client, a prestigious art gallery based in Sandton, is seeking a Personal Assistant to support their operations with strong coordination, administration, and front-of-house skills. The ideal candidate will be a proficient and professional coordinator, capable of managing various tasks effectively and maintaining the high standard of service expected at a top-tier gallery.

Key Responsibilities:

  • Coordinate meetings with clients, artists, and gallery staff, ensuring smooth communication and efficient scheduling.
  • Oversee the coordination of deliveries and couriers, ensuring items are dispatched and received promptly and in excellent condition.
  • Handle various administrative tasks, including maintaining accurate records and assisting with general office duties.
  • Assist with front-of-house activities, including greeting guests, answering queries, and providing exceptional customer service.
  • Manage the gallery's email and phone correspondence, ensuring all inquiries are addressed promptly and professionally.
  • Provide remote support after hours as required, with flexibility to meet the gallery's needs.

Key Requirements:

  • Previous experience in a personal assistant, coordinator, or similar role, preferably within a creative or luxury environment.
  • Strong organizational skills with the ability to manage multiple tasks effectively and prioritize deadlines.
  • Proficient communication skills both verbal and written, with an ability to represent the gallery professionally.
  • Demonstrated ability to handle deliveries, couriers, and client interactions with care and efficiency.
  • Ability to work 6 days per week, primarily remotely after hours.
  • Tech-savvy with proficiency in common office software (e.g., Microsoft Office, Google Suite, etc.) and communication tools.
  • A passion for art, cultural knowledge, and an understanding of the art world is a plus.
