As a Bid Office Project Administrator, you would play a critical role in supporting the smooth execution of bid projects within an organization. Your responsibilities would typically involve various administrative and coordination tasks to ensure projects are on track and well-organized.

Provides analytical and specialized administrative support to relieve executive, administrative, and line managers of complex details and advanced administrative duties. Executes special or continuous research and data analysis tasks. Analyzes problems, determines approach, compiles and analyzes data, and prepares reports/recommendations. Coordinates activities between departments and outside parties. Contacts company personnel at all organizational levels to gather information and prepare reports. Work is generally of a critical or confidential nature. Assignments may be found in various bid functional areas.

**Key Roles and Responsibilities**:

- Documentation: Maintain project documentation, including project plans, schedules, meeting minutes, and status reports.
- Communication: Facilitate communication among team members and relevant stakeholders, ensuring everyone is informed about project progress and updates.
- Scheduling: Assist in scheduling meetings, workshops, and project-related events, making sure all relevant parties are available and informed.
- Budget Tracking: Support in tracking project expenses.
- Risk Management: Assist in identifying and documenting potential risks and issues related to the project and support in developing mitigation strategies.
- Task Coordination: Coordinate and track project tasks and deliverables, ensuring that everyone involved knows what is expected of them and that deadlines are met.
- Reporting: Prepare regular project status reports for manager and relevant stakeholders, updating them on the project's progress and any challenges.
- Quality Assurance: Ensure that project deliverables meet the required quality standards by conducting quality checks and reviews.
- Administrative Support: Provide administrative support to the bid team.

**Academic Qualifications and Certifications**:

- Relevant project management certifications (eg. PMP, CAPM, ScrumMaster, CPA, etc) or equivalent.

**Required Experience**:

- Demonstrated project administration experience preferably within a technology service environment
- Proven client engagement experience preferable
- Minimum 3 years work experience
