Duties: Daily:
Monitor MDs incoming calls
Record GRVs daily
Report any issues with returns to MD (GRVs)
Record diesel consumption per truck daily
Monitor company cell phone, pass messages onto sales
Documents/payments etc to be passed onto MD as and when required
Print COAs as and when required
Remind sales reps regarding daily reports (to be filed and handed to MD)
Obtain Purchase Orders for State Vet/Computer Repairs etc
Liaise with other Group plants as and when required
Duties: Monthly:
Reconcile cell phone account
Reconcile diesel account
Prepare rebates for customers
Prepare reports for Sales
Monthly Statements to be sent to individual clients
Update telephone list, cell phone list, lockers allocation list as and when required
General:
Travel and accommodation arrangements
Prepare documentation for Certificate of Original (online)
Prepare documentation for State Vet Permits
Prepare documentation
Report any issues with phone lines/internet/computers/photocopiers to relevant service provider
General filing
Import of containers - maintain paperwork
Prepare Pro forma invoices as and when required
Price increase letter to be sent out to customers as an when pricing is adjusted
Christmas letter to be sent out at the beginning of December each year
The day before public holidays, memo to be put on the notice board as to when will be working on the specific public holiday
Submit/follow up on insurance claims
General day to day secretarial function
Print expiry labels for telesales
Print labels for the deli
Weekly switchboard relief (lunch time or as and when required)

PA/Secretary experience at senior level
Excellent computer skills: Excel, Word, general correspondence typing
Shorthand a definite plus
Mature outlook, able to maintain strict confidentiality
Well spoken, well groomed
Stable work history
