Facilities Supervisor

**SUMMARY OF ROLE**
To ensure that the Facilities Management unit is managed in an efficient and professional way resulting in efficient and cost effective operational delivery.
It will be required of the incumbent within the position to collaborate with all role players within the business as well and laisse with service providers to provide a cost effective, efficient solution to all facilities related queries and complaints.
**DUTIES AND RESPONSIBILITIES**_
Manage:_
- The maintenance / Recycling / Carwash / Gardening / team’s operational duties
- Capture and record all administration requirements for maintenance unit (Job Cards, quotes, requisitions, processing of invoices, overtime etc.)
- All procurement functions for the Facilities Unit (Request quotes, benchmark for cost effective / quality assurance / optimal delivery times options, process requisitions, manage payments to suppliers)
- Facilities help desk (log fault reporting with appropriate service provider, fault tracking and feedback to affected business unit, reporting on statistics as per helpdesk)
- Control the operating costs within Facilities unit (Cost Containment)
- Management of all external technical and non-technical service providers
- Management of the cleaning teams stock and equipment
- All facilities units administration of E-Payroll services
- Manage all relocation and moves within the business (Furniture installations, network points, additional electricity installations)
- The air-conditioning infrastructure and the servicing thereof.
- The outsourced gardening services (Landlords responsibility)
- Action the preventative maintenance plan and schedule
- Ensure:_
- Fully operational and functional Generator system (Testing, monitoring, servicing etc.)
- Efficient and seamless maintenance function (Repairs and maintenance)
- Efficient and seamless Cleaning function
- Adequate stock levels of consumables
- Absenteeism and excess leave rate is reduced
- General:_
- Conduct EHS inspections in conjunction with the EHS unit
- Manage and action EHS audit report
- Support function for all leased printers onsite
- Support planned maintenance roll out ( Carpet / window cleaning, pest control, Infrastructure upgrade)
**THE QUALIFICATIONS AND EXPERIENCE**
- Strong administration experience
- Experience in a Building facilities related queries
- Basic knowledge of air-conditioning systems
- Basic knowledge of operational maintenance (Electric installations, plumbing, generator systems),
- Strong Procurement background
- People management experience
- Stock / Quality control
- Basic First Aid training
