Medical Practice Manager

**Role objective**
To manage the day-to day operations of the practice in order for the partners to focus on clinical work.
**Key responsibilities**
**Operational**
- Co-ordination of all operational activities to ensure smooth running of the day-to-day activities.
- Identify and implement process improvements/other improvements to increase efficiency and quality of work/products/service within the practice.
- Preparation of reception and surgeries 15 minutes before first patients - or at the latest 7h45-8h00 in the morning.
- Ensure maintenance of equipment and instruments are done by Maintenance Manager and Assistants.
- Construct estimates or rehab reports as per example/template in file and grids on Solumed.
- Load clinical information or photos to allocated folders
- Manage S drive
**Patients**
- Ensure appointments for patients are correct., which are done by Reception.
- Ensure system (Solumed) runs the appointments for ortho patients correctly.
- Follow up on clinical notes and charges for patients.
**Marketing**
- Build relationships with current and potential clients as and when they visit the practice.
- Ensure the websites is always updated and a good reflection of the practice’s brand and services.
- Draft and implement the social media plan as well as execution thereof.
**Stock management**
- Ensure regular stock takes are performed and is done accurately.
- Ensure materials/stock levels of the practice are pro-actively managed.
- Manage stock in Sterilization Room - check or update daily/weekly.
- Manage consumables in Reception - check or update daily/week
**Financial management**
- Review daily cash-ups. (Follow up on payments from patients - is Reception doing it right)
- Perform reconciliations of payments (statements/bank account/card payments).
- Oversee creditors book
- Manage outstanding debtors (Manage the debtor’s book through pro-active follow-ups on outstanding payments to ensure it is kept to a minimum.)
- Record keeping of financial transactions.
- Identify and implement cost saving initiatives to improve company profitability.
- Collect and sort all invoices and statements
**Team management**
- Manage Staff leave on Teamhub
- Manage Staff contracts
- Manage salary slips
- Oversee the work of the Maintenance Manager and Assistants.
- Ensure good communication between employees.
- Resolve conflict as and when needed between employees.
- Provide employees with regular feedback on their performance.
- Plan, draft and oversee the staff schedules.
- Manage daily log sheets via fingerprint access machine.
**General**
- This role report to the partners.
- The Maintenance Manager and Assistants reports to this role.
- Understand and adhere to the company’s Operating procedure as well as Health and safety procedures and also ensure their team adheres to these.
- Perform any other reasonable task required by company.
**Key Requirements**
- Dentist assistant or Practice manager qualification (advantageous but not needed).
- Minimum of 2 years’ experience in a similar role/responsibility (examples would be practice manager of a medical/dentist/veterinarian practice, nurse or matron with similar responsibilities within these practices).
- Previous experience in Solumed/other relevant system (preferred).
- Code B Driver’s license and reliable transport to travel between the practices.
- Good computer skills.
- Good physical health.
- Previous experience in managing teams is important.
- Previous experience in overseeing stock.
- Previous experience in performing some financial activities for a company.
- Great communication and interpersonal skills.
- Good time management skills.
- Attention to detail.
- Good planning & organising skills, as well as project management skills.
- Good time management.
