**Assistant to the Executive Team (6 months fixed term contract)**

**350.org is looking for a driven, creative, flexible, highly organized and solutions-oriented Assistant to the Executive Team**, to manage and support the Managing Director and Executive Team.**

**About the**_ Assistant to the Executive Team _**Position**

The Executive Team Assistant provides administrative and coordination support to the Managing Director and Executive Team and acts as a liaison with staff and partners.

**Duties and Responsibilities**:
**Administration and Coordination**
- Calendar management and scheduling appointments for the Managing Director and Executive Team
- Coordinate the agenda for Executive Team Meetings and Global Strategy Council meetings, including preparations, note taking and follow up on agreements and decisions
- Organise Executive Team Priorities and Schedule
- Organise Travel Logistics for the Managing Director and as needed for the Executive Team, including the organising of team retreats
- Budget monitoring, including processing of expenses and invoices

**Organisational support**
- Manage the internal communication from the Executive Team
- Assist with project coordination and occasionally manage or engage in special projects
- Provide support for internal and external meetings and engagements, conducting research and preparing briefs and presentations when necessary
- Participate in org wide projects or provide support to other teams as assigned by the Managing Director.
- From time to time, contribute work towards 350.org's overall mission that is outside of standard responsibilities and instead relies solely on geographic location or work capacity.

***Technical**: Proficiency in Google Drive, Slack and Zoom.

Able to create work plans and anticipate deadlines. Be comfortable juggling multiple priorities with competing deadlines. Must believe and embrace 350.org's vision, mission, and progressive values.

**Required Qualifications**:

- At least 3 years of work experience as an executive assistant or other relevant administrative support experience
- At least 1 year of experience in an international non-profit organization
- Must be able to meet deadlines in a fast-paced quickly changing environment
- Proven proactive approach to problem solving
- Experience in event planning and logistics

We are looking for someone who is comfortable working remotely, both independently & on teams, and who is highly responsive, able to lead initiatives while also taking direction from others.
