Front Office Manager for a Boutique Hostel In Cape Town CBD
**Financial**:
- Must have a strong financial acumen
- Finance originates and leads financial practices and objectives that will provide a high performance culture that emphasises fiscal responsibility, quality, productivity and standards, goal attainment, and effective business management.
- Ability to manage budgets, track expenses, and ensure financial compliance. Efficiently manages time and deadlines to ensure smooth office operations
**Leadership and Supervision**:
- Manage and train a team of receptionists, security guards, Duty Managers
- Schedule staff shifts and handle HR-related tasks i.e leave requests
- Motivate and support staff to provide excellent customer service
**Customer Service and Operations**:
- Oversee guest reservations, check-ins, and check-outs
- Address guest inquiries, complaints, and requests promptly
- Ensure timely and accurate service delivery
- Maintain a clean, organized, and welcoming reception area
**Administrative Duties**:
- Monitor office supplies and order replacements
- Manage the front office budget
- Maintain records of guest information and financial transactions
- Prepare reports on customer feedback, bookings, and other metrics
- Manage stocktake and rostering
- Handle large group bookings with the reservations manager
**Additional responsibilities may include**:
- Implementing and maintaining company policies and procedures
- Handling security protocols and troubleshooting emergencies
- Managing mail and courier distribution
- **Qualifications**:
- Minimum of 2-3 years of experience in a Management or leadership role.
- Strong customer service orientation and problem-solving skills.
- Excellent communication, interpersonal, and organizational skills.
- Ability to work independently and prioritize tasks in a fast-paced environment.
- Proficient in computer software relevant to the industry (e.g. cash register systems).
- Working knowledge of property management systems (PMS).
Overall, the front office manager plays a crucial role in ensuring a positive experience for anyone entering the organization. They are responsible for creating a smooth-running operation and fostering a team environment that prioritizes excellent customer service.
